Integrating Stripe with QuickBooks

Seems preposterous that there is no native sync between Stripe and Quickbooks and even the options that exist now are as much as a basic QBO subscription anyway. Many of them don't even take into account differences between subscriptions or invoices and are lacking a seamless way to bring them in with the fees correctly assigned and managed between accounts.

Some thoughts for when this does happen...

  • Connect to Stripe account, pull data from XX date
  • Create a Stripe bank account in my QBO account
  • Assign incoming payments from my customers who paid on using Stripe as sales to Stripe bank
  • Create an expense account for Stripe fees and auto-assign fees from each transaction
  • Align payments received into the primary Bank account on QBO with the initial sale as a transfer from Stripe to the primary bank
  • Align refunds from Stripe bank OR primary bank if it was taken from here

Curious if anyone would add/change this?

@Kingstore @I’d add

- Sync invoices created in Stripe with QBO invoice section prior to receiving payment.

Stripe is great for building subscription and invoicing systems for SaaS platforms but there’s no native way to have those invoices appear in QBO.

Can’t believe QBO/Intuit haven’t built a native solution for Stripe yet!!

@dan-thornton

They will not support other payment processors natively as long as they are still promoting QB Payments.

QBs clearly have an arrangement with PayPal and probably a back hander ££ to make it a native payment processor, while that’s in place Stripe and such like will not get a look in. It’s a con go over to Xero native support.

Because they want you to have to use QuickBooks Payments.  That's a big money maker.

I cannot find the link titles that you are suggesting I look for.  We cannot connect Stripe to Quickbooks Online.

This is not helpful information except to know that in all reality Stripe and Quickbooks actually do not connect at all.  What century do we live in that the largest platform out there is not connecting with the largest accounting program.  Is this really what we are saying here in 2023?

Integrating Stripe with QuickBooks

I wanted to chime in to report my own journey/struggle to get Stripe and QBO integrated.  A few years ago, I quite happily discovered and began using the Synder integration application.  They built out an integration for the QBO API that handled all of my needs at the time (synced new sales transactions from Stripe, checked for existing customer record/created new customer record, created invoice and receipt and then created a "Stripe" bank account (clearing account) to which I could "Match" payouts from Stripe to our connected business checking account.

All was well but over a period of a couple years, Synder began to grow and, sadly, began to adopt profit-driven motivations....so the features began to get locked down under higher priced tiered pricing and they began to really restrict the number of monthly transactions to the point that you'd have to upgrade to a tier with a very bloated and unnecessary feature set for an very significant increase in pricing.  As a small business we were quickly priced out.

My wife had begun using Zapier to automate some email campaign features.  I noticed that QBO was offered as an integration and so since her plan had so many "Zaps" leftover each month, I decided to experiement.  Well. to make a long story short, I was able to replicated EVERYTHING that Synder was doing for me by building TWO Zaps.  One for handling new sales transaction syncs to QBO and the other for managing Stripe Payouts.  This did require some very basic Javascript and a rudimentary level understanding of APIs and HTML network requests....but it can be done!

  I hope that this helps somebody who is struggle with the same ridiculous issue.

VERY tempted to switch to Xero now new tax year here.

Stripe as default out of the box payment provider….

Not like QBs who CLEARLY have a commission based agreement with PayPal… Use PayPal and only PayPal and we will pay you £XXX for the monopoly.

@waste my time

Do you need to reconcile Stripe transactions into QBO or do you want to put Stripe payment links on your QBO invoices?

@info1804

You can convert your data to QB Desktop file and use the trial version to access your historical data for good, Then you can start from scratch in a new program next year to lower our conversion costs. What's holding you back?

@cetanorak What you're describing is what I need to do since I don't have that many transactions requiring an integrated 3rd party tool. I don't have Zapier but Pabbly Connect which can do the same thing. It would be helpful to the world if you could document everything somewhere. Thanks!

Integrating Stripe with QuickBooks

I am interested in integrating Stripe to my QB account only in the sense of tracking and managing the actual net amount of the Stripe deposits. I do not want to integrate client or customer payments. Is this possible?

Integrating Stripe with QuickBooks

Hi there, @smgtpc.

Yes, you can integrate Stripe with QuickBooks for your intended use. However, QuickBooks will only rely on the data supplied by Stripe.

Furthermore, to accurately track and manage the actual net amount of the Stripe deposits in QuickBooks, I recommend reaching out to their support team for more details about the integration between the two programs. They can provide you with security information related to your data and assist you in setting up the connection. If you haven't done so, you can find the app's reviews, pricing, FAQs, and an overview in our App Store at http://apps.intuit.com/.

Feel free to refer to our help articles for tips and additional links in the future.

Let me know if you have other concerns or need assistance with any QuickBooks related concerns. I'm always around to help you out. Stay safe.
