Build Assembly Number Change

Hello. When we create a build, we always change the number to the same number we’ve assigned to the job. But in the last month or so, when we close the build, it reverts the number back to pre-populated number QB assigns when the window first pops up. We have to open the build again, change the number and save a close in order for the new number to stick. Does anyone know why it would be doing this all of a sudden? Oh, and  it’s sporadic… any suggestions on how to fix this would be very much appreciated.

Run the Verify/Rebuild Data utility. Did you encounter any error message?

I'll make sure you're able to fix the number sequence of your build assemblies in QuickBooks Desktop (QBDT), @TiffaneyB

 

QBDT has a sticky feature that allows the program to automatically change the number of a transaction (in your case build assembly) sequentially following the most recently entered number. Having trouble with this may sometimes be caused by data integrity issues, to confirm we can run verify and rebuild data tool. Here's how:

 

  1. Close all the windows open in your QBDT program. 
  2. After that, navigate to the File menu and select Utilities.
  3. From there, click Verify data
  4. If you see the Your data has lost integrity message, proceed to rebuild the data.
  5. Go back to the File menu and select Utilities. Then, choose Rebuild Data.
  6. Select OK to back up your data.
  7. Click OK when you receive the message Rebuild has complete. Note: Perform the rebuild data thrice.

 

Once done, create a build assembly again and check if you can now see the correct number.

 

Additionally, I recommend ensuring your QBDT is updated to the latest release so you always have the updated components and fixes.

Build Assembly Number Change

We're having an issue of QB assigning a number to pending Build, we print it, then later when we try to release the build, it has new number.  It does it a lot.  Just now I tried to change it back to the correct number, and it reverted to the changed number while saving it.

Hi there, John. Allow me to provide additional troubleshooting steps to help resolve this issue.
 

Before proceeding, could you confirm whether you’ve already performed the Verify and Rebuild tool or updated QuickBooks Desktop to the latest version as suggested earlier?
 

If you've done performing verified and rebuild and are using the latest version and still the number changes , I recommend using the QuickBooks Tool Hub to fix system issues.
 

To download and install the QuickBooks Tool Hub, please follow these steps:

  1. Download the most recent version (1.6.0.8) of the QuickBooks Tool Hub. Save the file somewhere you can easily find it (like your Downloads folder or your Windows desktop). Please know that if you've installed Tool Hub before, you can find out which version you have. Select the Home tab. The version will be on the bottom.
  2. Open the file you downloaded (QuickBooksToolHub.exe).
  3. Follow the on-screen steps to install and agree to the terms and conditions.
  4. When the install finishes, double-click the icon on your Windows desktop to open the tool hub.

 

Once done, you can use the tools to fix common program problems: Fix common problems and errors with the QuickBooks Desktop Tool Hub.
