Can QuickBooks automatically records sales when a "pre-ordered" sales order is shipped?

We operate a very seasonal business with a distinct Spring and Fall season.  We start selling for a season up to six months in advance of shipping the orders. The orders are charged immediately so these "pre-orders" come in and are classified with a receipt to cash and hit liability accounts for pre-orders and pre-paid tax.

 

When an order ships, revenue is recorded at that point, relieving the pre-order liability and the tax moves from the pre-paid account to a tax payable account.

 

Is there a way in QuickBooks to have the reclassification entry done automatically when the order is shipped?  If not, how would you recommend handling this situation in QuickBooks?  (We have thousands of sales orders a season so we are trying to avoid having to deal with this manually.)

Auto-recording thousands of your sales when a pre-order is shipped is a great feature. However, it's currently unavailable. 

 

As a workaround, you'll want to use a third-party app that works with QuickBooks. You can visit the QuickBooks App Store to search for the right one for your business. 

 

Meanwhile, I'm letting our developers know your ideas. That would be a great feature to be added in the future updates when it's approved. You can also add your comments and suggestions directly to them by filling up the QuickBooks Feedback form.

I think I could/should have provided a little more information with my initial question because I am wondering if it will impact the answer or if we would still need something additional.

 

We have multiple systems that will "know" when the orders ship and that can communicate with QBO.  My question really is if QBO can use that information to reclassify the pre-ordered sales information once they ship.

 

We are using BigCommerce as our sales platform, ShipStation for shipping and SKUVault for inventory.  All three of those systems integrate with QBO directly and all three of those systems will "know" when an order ships (but I am guessing that ShipStation would be the one to communicate that information with QBO provided QBO can do something with it).

 

Do you know if QBO receives a shipping update on an order if it can then use that information to move the sales from the pre-order liability to revenue and any prepaid tax to a tax liability?  If not and an additional app is needed, do you know of an app that can assist QBO with this?

We have multiple systems that will "know" when an order ships.  My real question then becomes, can QBO use that information to reclassify the pre-order information if QBO is notified of the shipment?

I appreciate you joining back in and giving us some additional information about recording sales. 

 

At this time, the answer to your question is this isn't available in QuickBooks Online. However, like my colleague said, you're more than welcome to add your feedback to our Product Developers so they can consider this in the near future. 

 

As for your question concerning a third party app, we're unable to provide you with a certain/particular app to use for your business. You can always ask other users within the Community for their opinions.

Thank you again and I understand that you cannot recommend an app.

 

I would love to see if there are other users in the community that might be able to point me in the direction of an app that might help here.  What is the best way for me to get that request/question out to community users?

 

I took a look through the "app store" and nothing jumped out as being a possible solution for this.

 

As I mentioned earlier we are hoping the QBO can be a solution for us because of the native integrations with our other systems and QBO might still be the solution for us but it is looking like we will need to manually book the transition from liability to revenue/payables based on reports from our other systems.
