Changing a QBO account from sub-items to categories

Hi, I have an older quickbooks account which uses sub-items instead of the newer categories. I would like to make it switch over to use categories. Does anyone know a way of making QuickBooks switch over without have to redo all the items? If i remove all the sub-items will it switch automatically?

Changing a QBO account from sub-items to categories

Hi there, badbooks.

I'm here to help how you can add existing items to a category.

You'll have to modify the items manually and assign them to a category. I'm here to guide you through the steps.

  1. From the Sales tab, select Product and services.
  2. Locate the item.
  3. Under ACTION, click Edit.
  4. Select a CATEGORY.
  5. Click Save and close.

Then, do the same steps for the other items.

When you run sales or inventory reports, products and services are grouped by category. I've added this article as your guide in managing services: Group your products and services into different categories.

You can always post a Reply whenever you have concerns about categorizing items.

Changing a QBO account from sub-items to categories

Hi Adrian,

My issue is that the QBO company file I am working with still shows sub-items as the sorting feature for product and services. I would like to be able to assign categories, however that option is not available in the company file. I am looking for help to switch over so that I can use categories instead of sub-items.

Thanks for the prompt response, books. Let me make it up to you by ensuring you'll be directed to the best available support to assist you with this concern.

Usually, these feature updates are rolled out to different QuickBooks Online (QBO) accounts. To address this issue right away, I recommend contacting our Technical Support Team since the Community is a public forum, and we'll need to collect some personal information to pull up your account. They'll be able to perform a screen-sharing session to check further why your old QBO company isn't included with the feature rollouts.

Here’s how to get in touch with our representatives:

  1. Log in to your QuickBooks Online account.
  2. Click the ? Help button at the top right corner.
  3. Go to the Search tab, then select Contact Us.
  4. Enter a brief discussion with your concern, then click Continue.
  5. Choose a way to connect with us.

Please review our support hours to ensure we can address your concerns promptly.

Additionally, you may refer to this article on how to view all sales transactions and invoice status on the Sales page: View sales transactions.

Let me know if you need anything else regarding your products and services in QBO. I'm always around to assist you. Keep safe!

Changing a QBO account from sub-items to categories

Hi Kevin,

I did originally reach out to Technical Support staff first. They were unable to solve my issue. That's why I posted here, hoping that someone had my same problem and figured out a solution. It would be a huge hassle to keep trying technical support hoping that I get lucky and find the one staff member who knows how to solve my problem, but I guess you're saying that I have to figure it out myself if I'm not willing to spend hours working my way through the technical support staff roster.

Changing a QBO account from sub-items to categories

Just went through this, if you haven't figured it out....here is how to fix it.

Go to your products and services page, the URL will be this:

https://app.qbo.intuit.com/app/items

Change the word "items" to categories and it will trigger the migration process from sub-items to categories.
