Contractors - Tax Identification Number

I have a contractor who started off using an Individual Social Security number but has started a business and is now using Business Employer Identification Number. Should I just update the vendor information with the EIN number or do I need to deactivate the contractor and set her up as a new contractor?

Contractors - Tax Identification Number

You only need to update the contractor information in QuickBooks, barrajb.

 

Here's how:

 

  1. Go to the Payroll menu and then select Contractors.
  2. Locate the contractor you'd like to edit, then click to open.
  3. On the Details section, click the Edit icon.
  4. Under the Contractor type, select Business.
  5. Enter the Business name and the Employer Identification Number.
  6. Once done, click on Save.

Contractors - Tax Identification Number

Your contractor was probably operating a sole proprietorship using her social security number. The business she has started using an EIN for may be a separate business, unless she got her EIN because she now has employees. You should check with her to make sure this is not a new company before changing her information. If she has started a new and different type of company you will need to send out separate1099s to each of her businesses at the end of the year. Always be sure to get a new W-9 from any of your contractors that make changes to their information.

This is not working. When update the Business and EIN number, QB does not allow me to press SAVE.  The save button is green and 'clicks' but nothing happens.

Let's perform some troubleshooting steps together so you can update your contractor details in QuickBooks.

 

It's possible that the pages are not loading correctly due to a browser-related issue or an outdated cache. To determine the root cause, let's start by accessing your account in a private window. This will allow QuickBooks Online to start with a clean slate and may help resolve the issue.

 

Here are some keyboard shortcuts to access an incognito window on supported browsers:

 

  • Google Chrome: Ctrl + Shift + N
  • Microsoft Edge: Ctrl + Shift + P
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

 

Once you've logged in to your account using a private window, update your contractor details again. If everything works smoothly, I recommend clearing the cache in your regular browser to remove outdated files. Alternatively, you can also use other supported browsers.
