Customer Credits

When a customer overpays an invoice we are asked if we want to leave the over payment as a credit. If we agree to that, the credit will show up in the Apply Credit window, but not in their transactions list. How do I find information about that credit?

You can run a custom Transaction Detail report in QuickBooks Desktop (QBDT). Then, customize it to show the unused or unapplied credits of your customers.

 

Here's how to do it:

 

  1. In QBDT, go to the Reports menu at the top.
  2. In the drop-down, select Custom Reports, then Transaction Detail.
  3. Click the Customize Report option at the upper left.
  4. On the Display tab, add the Open Balance column, then remove other columns when necessary.
  5. On the Filter tab, choose All Names for Names.
  6. Pick Payment and Credit Memo for the Transaction Type

  7. Hit OK to complete.

 

The Open Balance column is where you can see the unused or unapplied credits of your customers.

Allow me to step in and provide some information about showing the credits applied to your customer profile.

 

As of the moment, having the applied credits to show in your customer's transaction list isn't possible. As a way around, you can utilize the Transaction Detail report and customize it to show the data you need. Let me show you how:

 

  1. In QBDT, go to the Reports menu at the top.
  2. In the drop-down, select Custom Reports, then Transaction Detail.
  3. Choose the report date range.
  4. On the Display tab make sure to put check mark on the credit under the column option.
  5. Hit OK to complete.
