direct deposity liability check

Not realizing with Quickbooks desktop and having two different company accounts with the same EIN. That when you do direct deposit. the direct deposits show up on the second company.  I have been deleting those liability checks not knowing they were also deleting from the other company.  Now I need to recreate those liability checks for direct deposit (not the payroll checks)  and I am not sure how to go about it.

direct deposity liability check

Hi, PP67.

In QuickBooks Desktop keeps a record of each financial transaction as it is added, changed or deleted. By accessing the Audit Trail report, we'll get to see who made the changes in your company file and what changes are made.  I'll show you how to retrieve the data and so we can make corrections to it.

  1. Go to Reports and choose Accountant and Taxes.
  2. Select Audit Trail and Customize Report.
  3. Under Display tab, choose the specific data you want to see on the columns.
  4. Click Ok.

In recreating liability checks, we can do it by going to Payroll Center. We can check this article for more details: Pay your non-tax liabilities in QuickBooks Desktop Payroll.

For additional and future reference, check out these articles to learn more about fixing direct deposits, or if we need to make changes to paychecks moving forward:

Let me know if we have more questions about direct deposit. I'll be here to lend a hand.

I understand all of this and have done it.  I saw where it was deleted.  I do not want to restore a backup because that will cause me to lose my information that has been entered.   How can I restore these or undelete them?

I'd be pleased to share the steps on how to restore those liability checks in QuickBooks Desktop, PP67.

We can recreate the liability checks without restoring your backup data by following the step-by-step process below:

  1. Click Employees at the top menu bar and choose Payroll Center.
  2. Select Pay Liabilities. Under Other Activities, select Create Custom Payments.
  3. In the Select Date Range for Liabilities window, select a date range, then OK.
  4. Tap To be printed if you want to print the liability check. Leave this clear if you issued a handwritten check.
  5. Select the bank account and the date you want to appear on the liability check.
  6. Choose either Review your liability check to enter expenses/penalties or Create a liability check without reviewing.
  7. Select the payroll item you want to pay, then select Create.  Note: For multiple payroll items, if the items are paid into one agency they are combined into one liability check. Different agencies will produce multiple liability checks. Make sure the check amount and item list under Payroll Liabilities are accurate.
  8. If you select Review your liability check to enter expenses/penalties, a liability check appears. If you didn’t, you can view the liability check in the check register. Make sure the date and amounts are correct. Select Print to print the check.
  9. For a handwritten check, clear the Print Later checkbox. Then enter the check number or other reference in the NO. field.
  10. For liabilities paid by Electronic Funds Transfer (EFT), clear the Print Later checkbox and type EFT in the NO. field of the liability check.
  11. Go to the Expenses tab if you want to enter expenses/penalties on the liability check. From the Account field drop-down, select the expense account you use to track payroll expenses and penalties, then enter the amount in the Amount column.
  12. Select Recalculate.

For more details about this process, check out this article: Pay your non-tax liabilities in QuickBooks Desktop Payroll. In the same link, we can find other ways to pay your liabilities as well as creating pay schedule.

This should keep you moving today, PP67. Don't hesitate to let me know if I can be of additional assistance while working in QuickBooks or need more help with payroll liabilities. I'm always here to keep helping. Have a good one!
