Email Receipts Only

I have 3 employees that I would like to ONLY be able to email expense receipts.  I do not want them to have any other QB access.  Can this be done?  Would it count against my user count?

Email Receipts Only

You can use the search bar to find answers to most questions, here in the community. (It's a LOT quicker to search for it yourself, rather than wait for someone to answer).  In doing so, I was able to find the link below that will help answer your questions.

Email Receipts Only

Let me share some information about emailing your expense receipts in QuickBooks Online (QBO), ATJTomBlack4.

 

The option to set up employees as a user to email expense receipts only is unavailable in QBO. What we can do is give standard users permission to forward receipts. Allow me to show you how: 

 

  1. Go to Bookkeeping then Transactions.
  2. Click Receipts or go to Banking then select Receipts.
  3. Choose Manage forwarding email.
  4. Turn on the toggle for the users you want to permit to forward receipts. If you haven’t set up users yet, tap Add new user. They’ll appear after they accept your invitation.
  5. Press Close.

 

Keeping the following in mind when managing users and addresses: 

 

  • You can only register one email address per user for your company. Here’s how to change the email address associated with your QuickBooks user account.
  • In the Receipts tab, you can always select Manage forwarding email to manage which users can email receipts and bills.
  • A user must at least have standard permission from vendors to send receipts and bills.
  • If you have a Gmail address with a + sign in it, you may not be able to register your email address.

I'd suggest submitting feedback directly to our engineers. They may look into this suggestion and consider adding this option in future updates. Here's how:

 

  1. Go to the Gear icon.
  2. Hit Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next.
  5. Follow the on-screen instructions to complete the process.
