Thanks for visiting the Community today, @Jonnybegood. I can see the need to add your piece-rate employee to a project.

As an insight, we can only assign an employee to a project through a weekly timesheet

Here's how:

  1. Click the New button, then go to Single time activity or Weekly timesheet.
  2. From the small arrow icon, select the name of the employee or vendor and the week you want to record.
  3. Tick the Billable (/hr) box if it's billable to the project.
  4. Enter the hour/s.
  5. Hit Save and close.

For future reference, you can check out this article to learn more about tracking hourly labor costs and profitability by a project in QuickBooks Online.

Feel free to drop by again soon soon as you have other concerns about adding your employee to a project. I'll be there to help you once more.

In most cases the extra billable hours are already added to an invoice as extra labor billed at an hourly rate.

Here is an example.  The invoice is for a $1200 piece rate is $600 plus 3hrs work at $17per hour. So the employee is paid $651 I don't track hours except to ensure that I pay overtime if it is needed.  If needed then I do the OT calculation and add it to his pc rate check.  Also how do I acturally add the name as an employee?  Right now the only option is to add them as vendors.  I also need help on matching the pay check to the proper account or catagory when it clears the bank.

Hello again, @Jonnybegood. I'd like to provide additional insights about setting up an employee so you can add them to a project.

Make sure to first gather the employee's information before adding their name to the system. After that, you can proceed to add the employee. You can either enter some information and invite your employee to fill out the rest. Or set up and add the info manually:

  1. Click on Payroll, then choose Employees.
  2. Click on Add an employee.
  3. Enter your employee’s name and email address. If you want them to add their own personal, tax, and banking details, ensure to turn on Employee self-setup. QuickBooks will automatically email them an invite to QuickBooks Workforce. Your employee can enter their address, Social Security number, W-4, and banking details.
  4. Hit Add employee.
  5. Choose any section to add the remaining employee details.
  6. Once done, click on Save.

Lastly, you must complete the new state setup if you added an employee who resides or works in a different state. See this module for guidance: Set up payroll taxes in a new state.

You'll also need to ensure that the bank account name is showing the same for both Chart of Accounts and Payroll Settings. This prevents issues when matching paychecks.

Furthermore, read this to learn more about how you can use the project to track labor costs: Track hourly labor costs and profitability by a project in QuickBooks Online.

Please hit the Reply button if you need more help with this matter or with QuickBooks generally. We'll get back to you as soon as we can. Take the best care!

Allow me to step in and clear this up, Jonnybegood.

Paying employees by piecework or piece rate is not available in QuickBooks Online Payroll. It is only available in the desktop version. I recommend looking for a third-party app that you can use when paying your employees using this method.

On the other hand, I see how much it would help if the said option is available in the online version. Feel free to submit a suggestion by clicking the Gear icon and choosing Feedback.
