How to hide Products and Services column on the new invoice layout? Our Products and Services extensive list is for internal use only not for customers to see on invoice?

I used to use bundles to hide the expenses, but with the new layout, I am unable to add existing expenses to the bundles. Is there a way to get back the old layout? Hide the line expenses in the printed invoices? or add existing expenses to the bundles?

We understand the importance of having the option to hide the Products and Services columns on your invoices in QuickBooks Online (QBO), @Esmarlin. Let me help you on how to make products and services not visible.

 

Please note that product enhancements were implemented based on customer feedback regarding classic invoicing. Reverting to the old layout is not possible as the changes have already taken place since April 24th. All users have been migrated to the new layout, and there is no option to switch back. Once the migration is complete, the old layout will be deprecated and was done last May 2024.

 

On the other hand, to prevent your customers from seeing the products and services listed on their invoices, create a custom template that excludes these columns. When sending an invoice, make sure to select this custom template instead of the default one. This will ensure that the products and services remain hidden from your customers.

 

Follow the steps given below:

 

1. Go to the Gear icon and select Custom form styles.

2. Select New style and then Invoice.

3. Name it No Product and Services Column.

4. In the Content tab, click on Body.

5. Untick Product/Service under Columns.

6. Hit Done after making modifications.

 

Furthermore, it is not possible to add an existing expense to bundles in QuickBooks. QuickBooks automatically categorizes existing expenses as separate line items, which means they cannot be included within bundled items.

Thank you for your response. However, this does not fully solve the problem. I would like to add the existing transactions to the bundles so the breakdown is hidden but the bundle description works. Is that something that can be done with the new layout?

 

In the meantime, I've discovered that concealing all the information from the content tabs and incorporating it into the Customer Notes is the most effective way to achieve what I need. However, this approach leaves the invoices looking a bit off.

We can add an existing expense transaction to the invoice as a separate line item, not within the bundled items. Then hide the Product/Service column so your customers won't be able to see it in the printed invoice. I'll outline the process of how we can achieve this one. 

 

First, when you create a billable expense transaction, follow these steps to add it to the invoice:

 

  1. Click the +New button and select Invoice.
  2. In the Customer ▼ dropdown menu, select the customer you created a billable expense for. This opens the Suggested transactions window.


     
  3. Select Add on the billable expense you want to charge to your customer.
  4. Choose the bundle item from the Product/service dropdown.
  5. After that, go to the Customization section and toggle off the Product/service option to hide the column.


     
  6. Click the Print and Download button to preview your invoice. As shown in the sample image below, we're able to hide the product or service items, but not the description.


     
  7. Once everything's fine, hit Save and close.
