Hi there, Jacie.

I know how important for you to insert a signature on payroll checks. This is something I can help you with.

Have you come across any error messages? I appreciate it if you can share more details so I can provide you with the best solution to fix it.

In the meantime, please make sure that the image has an aspect ratio of 11:3(11 widths and 3 heights). Also, the signature must be placed above the signature line on intuit supplied checks and is saved in the following file format JPEG, PNG, BMP, or TIFF.

Once an electronic signature has complied with the requirements, you can add signatures to paychecks by following these steps:

  1. Go to the File menu, select Printer Setup.
  2. In the Form Name dropdown, click Check/Paycheck.
  3. Choose the Print Signature Image checkbox.
  4. Select File when the Signature window appears.
  5. Locate the file that contains the signature, then hit Open.
  6. Click OK in the Signature window, then OK again in the Printer Setup window.

For more insight, refer to this article: Create and use electronic signature for checks and paychecks.

In addition, check out this resource to learn how to fix an employee paycheck: Delete or void employee paychecks.

Let me know if you need further help with the signature. I'm always around to help you.

I spent over an hour with the QB agent on Friday morning.  When I scan the signature and save as a jpeg onto my desktop.  My scan features do not have a setting for 11.3.  The signature shows up really really small.

I didn't have this problem with QB 2021

Hello @Jacie,

I appreciate you for getting back to us here in the Community. I'm here to help you change the image aspect ratio.

The aspect ratio you can set for the file will depend on the scanner. Since the 11:3 option is unavailable, I suggest using a third-party application to change it manually.

I've checked online, and there are guides available to change the ratio. Though we can't recommend which one to follow, you can consider checking these links:

I've also attached an article you can use to review printer setup before printing paychecks in QuickBooks: Print your paychecks in QuickBooks Desktop.

Feel free to hit that Reply button if you have additional questions or concerns about adding payroll information. Have a great day ahead.

I've tried all the suggestions you offered and none of them are working.

How did it work in 2019?  It transferred to the Accountants 2021 just fine when I upgraded.  How come it won't do it now?  Nothing has changed on my end.

Hi Jacie!

Thanks for the update. Let me further assist you with the signature for paychecks.

The 11:3 aspect ratio is required for the electronic signature and it applies to all versions. While QuickBooks Desktop doesn't have a file or image resizer, you can use any third-party file resizer.

In addition to what my colleague suggested, you can look for other third-party applications through QuickBooks Desktop Apps.

Also, you can follow the steps in this article on how to set up the electronic signature and how to print paycheck:

Leave a comment again here if you have other concerns with payroll. Wishing you all the best!
