Make old customers and jobs inactive

Just moved over to the Quickbooks online and signed in at the Simple Start level.  Apparently, Billable Expenses is not included at this level.  I've been using Quickbooks Desktop Pro for 10 years.  I've always marked my billable materials and noted which Cust/Job that they went too.  But, I did not use the billing feature, I only did it for tracking purposes.  When I did an invoice, I would get my material total from the Add Time/Costs tab and then use that amount in my invoice calculations, which leaves open billables under most jobs.  Now in QB Online, when I go to make old jobs and customers inactive, QB Online won't allow it due to the open billables.  I've got more than 650 customers and jobs and trying to manage that list is no fun without being able to make the old stuff inactive.  Has anybody discovered any work arounds for this?  So far the only fixes I have discovered require you to be able to edit the charge which I can't do at my level.

 

Side question.  I'm assuming tags is the best way to track the expenses in QB Online without the billable expenses option, is that correct?

I appreciate your time in getting help with your billable charges. However, we don't have any other way than to edit your expenses.

 

On the other hand, putting information about billable charges isn't the purpose of the Tagging feature, but yes, you may use it that way if that works for you.

 

As you may have noticed, the Simple Start plan doesn't have many of the features since it's built for a starter that doesn't track billable charges, multi-currency transactions, etc. It may not be suitable for someone who's been trading for 10 years. You may want to find a third-party app that offers the features you need.

Inactivate Customers and Items in mass transaction
  1. Go to the Sales menu.
  2. Select the Customers tab.
  3. Click the checkbox beside the Batch actions.
  4. Select the Batch actions and select Make inactive.

I'm a bit confused by the last part of your response.  Per Quickbook's information, the next plan up adds access for 3 users, manage and pay bills and track time.  I'm a Sole Proprietor with a fairly successful business.  Even if I continue success and growth for another 20 years, I wouldn't have any need for those additional features?

 

Billable charges are specifically a part of invoicing in Quickbooks which is a feature and function of Simple Start.

 

Please help me understand what I am missing.

I appreciate you coming back on this thread. I can share some more insight into this situation. 

 

QuickBooks Desktop and Online are different products and some features work in one and not the other. As for QuickBooks Online Simple Start, managing and paying bills, and tracking project profitability, aren't available in this product. 

 

However, you are able to have these features in QuickBooks Plus and Advanced. Check out this link for more details: Choose the plan that's right for your business.

 

You'll need to upgrade your system to one of those options in order to edit the charge(s). If you'd like to keep the current subscription you have, I suggest looking into some third party apps to help your business out.

Good afternoon, RyanC3PO!

 

I think you're confused as to why you're seeing billable charges after moving to Simple Start, which doesn't offer that feature. I'll shed light on this.

 

When you convert data, some information is retained on the transactions, which is the customer being billed for in this case. This is why your vendor transactions still keep the tagged customers. Actually, even if you've chosen the Plus plan, you would still need to go through each transaction to remove the billable mark because QBO doesn't have an option to do it in batches.

 

As for Essentials, which is next to Simple Start, it has an option to create bills, but you still can’t make them billable to a customer since it doesn't have that option. However, you can track your profitability by running variations of Profit and Loss reports.

Hey JessT.  Thanks for the response.  I'm a little confused about why billable expenses aren't included at the Simple Start level and have asked that question on a different thread.  Can discuss here if that works best.  I'm new to the community and haven't figured out my way around.

 

In this thread I was trying to figure out a work around to my issue.

 

I've got old billable expenses in my QB file that moved over into QB online from my imported desktop file.  These old billable expenses are causing me an issue in managing my customer and job list.  I can't make old jobs and customers inactive because of the open billables.

 

Any thoughts?

A dirty way to clean up the things that will never be invoiced to customers or have been invoiced outside the system is to use an easily identifiable invoice number series, generate the invoices in QuickBooks, then void all of those invoices so they do not impact your financial statements.  The system will then assume everything has been billed and you can make the jobs inactive.
