Multi-User Access Serious issues

Hello,

I am hoping you someone here can help me. We have QuickBooks 2019Pro and the Database in on the server. I also have Our version of QuickBooks also installed on this serve. We are having serious uses with Multi-user access. We have three users and have the licenses for 5. We are having issues with these two scenarios.

1) Run the Database manager on the server to enable the company file to be shared. If one user going in first then the other two can. But this user is randomly changing. I have hosting turn off on all the clients. But, somehow it seems to need a user to open it first and that changed from day to day. It also will randomly say the company file is open on a PC and it is not. I have even had it say this when all but on client workstation is trying to open the company file and the others are turned off.

2) if I open QuickBooks on the server and have that version set to host the company file the workstations open in single user mode or have the "Company file is open on another pc" error again. This is turning into a daily thing no mater which way I try to share the database. Usually once we find the workstation that has to be open for that day....they all can get and and operate normally until the next day.

What is the correct procedure to share a company file and not have these issues.

Thank you....

MikeM

Multi-User Access Serious issues

Thank you for providing details of your concern, @MMiller1405. Allow me to provide additional information and assist you in the correct way of sharing the company file in QuickBooks Desktop (QBDT).

The following are some reasons for QuickBooks multi-user mode not working:

  • Possibly, the hosting settings are not properly configured.
  • A firewall or antivirus software may block communication between user computers.
  • The database server is unable to open the company file.
  • The file permissions in Windows are not configured correctly.

To share a company file, here are the steps to perform:

  1. Install the QuickBooks Database Manager on your main computer. This way, your company files will be shared with other computers over your network.
  2. Set the Windows admin rights to change your firewall settings and folder permissions.
  3. Scan your folder using the Database Server Manager to access your file over the network.
  4. Turn on hosting on your server computer:
  5. 1. Go to the File menu and hover over Utilities.
  6. 2. Select Host Multi-User Access. Then click Yes to confirm.

You should install the trial version of QB Desktop Enterprise to isolate the problem.
