My computer crashed and I am trying to restore my information in the point of sale version 18. It keeps giving me an error about needing software update. I don’t want have version 19 and am only using this to have records of past customer transactions and information.
Welcome to the QuickBooks Community forum. I can see that you are encountering an issue with QuickBooks Point of Sale (QBPOS), prompting you to perform an update. I am here to provide insights and guidelines to assist you in resolving this problem.
This error message appears when a user tries to migrate to Shopify and requires a software update. Otherwise, it could be that the version you're using (18) is no longer supported and compatible with your current system. QuickBooks often requires updates to ensure stability, security, and compatibility with the latest operating systems.
You'll want to double-check and ensure that your computer hardware meets the minimum requirements for your version of QBPOS.
Apart from all that, you can delete all contents of the Entitlement Client folder and remove the WSActivity.xml file as a troubleshooting step you can perform in the meantime. Here is how:
1. End all QuickBooks Desktop Point of Sale processes.
a. Press Ctrl+Shitf+Esc to open the Task Manager, then select the Process tab.
b. End the following processes:
c. Close the Task Manager.
2. End all POS services.
a. Press Window+R to open the run command.
b. Enter services.msc, then click OK.
c. In the Services window, choose QBPOS Database Manager vXX.
d. Click Stop, then close the services window.
3. Display hidden Windows folder.
Windows 10
a. Right-click the Windows Start button and select Control Panel.
b. Click Appearance and Personalization, then choose Folder Options.
c. Choose View.
d. Under Advanced settings, select Show hidden files, folders, and drives.
e. Pick OK.
Lastly, it is best for you to restore or access QBPOS version 18 of the data on another virtual machine without connecting to the internet. The error about needing a software update/upgrade may only occur if it can check for updates online.

Thank you for the suggestions - I have tried these and still have the same issue. I am very frustrated that the software will not open my backup. Unfortunately the other POS option (Shopify) will not show all the details like prior transactions - notes listed under customer information. Don’t understand why we invested so much money for this software and now it is forcing us to lose all of that old information. We have moved to a new POS system, but now we have lost years of information as a reference. Just another major company taking advantage of the small business.
I'm having a similar issue, I never imagined not being able to use my point of sale. How can you stop us from exporting our inventory to a new point of sale when we purchased this one?
I have a similar scenario and I would like to know why intuit can stop us from exporting are inventory to a new point of sale?
I purchased a brand new computer to find the Point Of Sale greyed out and useless on my new one. I was going to go with shopify and they had an error QB list id file is not listed and I was told should be there and that stopped them from exporting my inventory
Thanks for chiming in on this thread, @Rhonda40.
I'll route you in the right direction of support to help you export your inventory to your new Point of Sale (POS).
Since you'll want to go with Shopify, I suggest contacting their Customer Care Support Team. They can give you insights into why the export process has stopped. Also, they have the tools to check to configure the process and guide you with the alternatives if possible. You can find their updated contact information on their page or website.

I have been working with them, I called this morning because I thought they had downloaded my online store and not the brick and mortar from my pc, I explained to them, she said I could delete that file and start over, but when I did I received the error QB LIST ID is not listed, I was told by shopify that should have been listed on all versions?
I have spoke to customer care and all of their suggestions have not worked, we used the Quickbooks Desktop Connector and went through the process and received the error message QB LIST ID FILE is not listed, but I do not understand why on 2/15/24 they actually talked me through and were successful, but after completion I thought they had you my online inventory and not my POS so I deleted it and was told we could redo, but received the error message
