This can be done by generating a tailored one-time payment link within the "Get Paid & Pay" or "Payment Links" section in QBO. This allows you to select a specific customer, which then populates their email and name from their profile within QuickBooks, making the payment process faster for them. Here are the steps to get this set up:

 

  1. Go to the Sales or Get Paid & Pay menu and select Payment Links.
  2. Click "Create a link" and choose "One-time payment link".
  3. Enter the Amount and Description, then select the specific customer from your list.
  4. Select Send Payment Link to share via email or copy the link to share directly.

 

A few additional details to consider:

 

  • The link sends to the customer's email, where they can enter their payment details, but the initial customer information is pre-filled, making the process and experience more efficient
  • These links are best for instant, one-off payments where a formal invoice isn't required.
  • You'll need to have QuickBooks Payments connected to use this feature. 
  • Alternatively, for recurring charges, you can set up a recurring payment template that pre-fills customer information.

With the payment link you're using, I recommend checking to see if there's an app available for the third-party that will connect with QuickBooks. These apps integrate directly with QuickBooks so you can use the two platforms together. You can search for the app here: QuickBooks App Marketplace.
