Quickbooks Desktop Access to Data after Cancellation of Subscription

How do you purchase an outright license to be able to open and view a QBDT file once you cancel your subscription?  I am using QBDT Pro Plus 2023 but have been buying standalone versions of the software almost every other year prior to moving to subscription in 2021.

 

I have already moved to QBO but would like to maintain read only access to my historical data indefinitely - especially reports - as important info (ie custom fields on my invoices) did not transfer to QBO.

 

This statement comes from the site referenced above about cancellation but there is no info on how to purchase an outright license for read only access to MY data that I have paid for the software to view for over 20 years.

 

  • Your will company file will remain on your device, but you'll need to re-activate your subscription or purchase an outright license to be able to open and view it.

Hello there, @cpeterson1. Thanks for posting in the Community forum and providing detailed information about your concern.

 

The article that you've shared is for QuickBooks Desktop Canada. For the US version with QuickBooks Desktop 2023 R3 or newer, you have the view-only access feature that remains for 1 year after your subscription ends. In using the view-only mode, you can view reports but can't create any transactions. Thus, it'd be best to export your data before you cancel your subscription.

 

To export your data, here's how:

 

  1. Go to the Reports menu at the top of your QuickBooks Desktop account.
  2. Locate and open any report.
  3. Choose the Excel option on the toolbar to create a new worksheet or update an existing one. You can also select Print or save the report as a PDF.

In addition, I suggest creating a back up your QuickBooks Desktop company file before your view-only access expires and downloading a trial version so you can restore your file from there in case you'll need it in the future.

Also, here is the same statement in the US version:

 

  • You'll lose your license to use the QuickBooks Desktop Software. Though you'll no longer have access to the software and all related services, you'll retain access to your company data file stored on your device, which can be reinstated to a readable QuickBooks Desktop format upon reactivation of your subscription or with the purchase of a license to the software.

How do I purchase a license to the software as stated above?  I would like to buy a stand alone license so that I can access my historical data as needed and not have to pay the $500/yr subscription in addition to my QBO monthly subscription.  Please Intuit - offer this to the many loyal customers you have had for many years!

Please know that I've updated my answer above and added some information on how to access read-only data in QuickBooks Desktop (QBDT).

 

On the other hand, you can download the QuickBooks Desktop trial version as many times as you want as long as you don't register it. Because once you register for the trial, you may be locked out.

 

As for your concern in purchasing a license to the software, I recommend contacting our Customer Care Team. They can provide options and help you set up the account. 

 

To reach them, here's how:

 

  1. On your QuickBooks account, go to the Help menu at the top.
  2. Select QuickBooks Help.
  3. Choose "Contact Us."
  4. Enter the issue or topic in the field box, then select Continue.
  5. Sign in to your Intuit account.
  6. Click Continue and then Continue with my account. If you don't already have an account, create a new account.
  7. Check the code in your email and enter it.
  8. Select Continue.
  9. Choose to chat with us or have us call you.

Is this information still true?  We can download trial versions as many times as we want to if we don't register them? 

Do we still have read-only access for a year after cancellation?

Thanks for joining the thread307Poggensee. Let me clarify things about the trial version and the View-Only access in QuickBooks Desktop (QBDT).

 

Downloading the QBDT free trial version allows you to test and experience its interface and features for managing your business for 30 days only. As long as you don't register, you can easily re-download the installer if needed.

 

On the other hand, you'll have View-only access once you cancel your subscription to QBDT. This access will allow you to open and view your company data for a year after your subscription ends. During this timeframe, your inactive license will prevent you from editing your data. Thus, I recommend exporting these data before canceling your subscription.

Contact @Fiat Lux - ASIA and they can share a workaround to use the trial version to access your historical data for good and edit anything anytime if required.
