Quickbooks Migration from Desktop to Online, timeline options?

Hello. We are in the process of moving our companies over to Quickbooks Online Advanced from Quickbooks Desktop. I have sucessfully moved 2 of our 3 companies with no major issues. However, our 3rd is a much more complicated and larger file that dates back to 2006. As a test, I imported over that large company file and I am finding many issues that are going to take some time to figure out (so far, I am seeing many old Journal Entries that didn't pull over, so there are tons of GL Account balance issues and customer Account issues... all of which are going to take a considerable amount of time to reconcile).

 

We plan to switch completely in January and will have 4 people working in the new Online Platform. My plan is to have the new Online File reconciled and ready to use for everyone by that time.

 

So my question is, is it possible to pull our updated file over as of 12/31/2022, allow myself the month of January to get the online file reconciled and properly set up for use, then just pull in the Jan 2023 transactions from the old Desktop file once everything is ready to go?

 

I am just afraid to disrupt operations with so many errors... they truly need to be reconciled before my team starts working on the new platform.

Another thought...

I noticed a lot of the migration issues I am seeing are due to missing Journal Entries which appear to include inactive GL Accounts. 

 

If I were to make ALL of our old GL accounts Active again in the original QB Desktop file, would it perhaps allow for a better file transfer into the new QB online? 

 

Pretty much every starting balance entry is missing - but I assume its because those entries were created with old bank accounts that we have since made inactive.

Open your company file on QB Desktop and hit f2 key. Make sure your Total Targets are not more than 750K. Otherwise you have to condense your file to remove old transactions or purchase a 3rd party service to convert data without condensing it.

Yup, our file is a bit bigger than 750k targets. Let me try and work on that first... 

 

Any idea if making inactive accounts active again will be of any help too?

My answer is no. Your transactions are still there. You must condense your data to lower the Total Targets.

You did a great job successfully moving 2 of your companies from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). Let's get your 3rd company file migrated to QBO so you can start working on the new platform in January. 

 

Yes, @Fiat Lux - ASIA is correct. If your company file exceeds 750,000 targets, we're unable to move it to QBO. That said, I suggest condensing the file to reduce its size. I'll guide you on how:

 

  1. On your QBDT, click File and select Utilities.
  2. Click Condense Data.
  3. When prompted with a message Budget data may be moved during cleanup. Do you want to continue anyway?, select Yes.
  4. In the Condense Data window, select Transactions before a specific date.
  5. Select a date. QuickBooks will remove closed transactions on or before the selected date.
  6. Click Next.
  7. Choose a method to summarize the transactions you're clearing and click Next. If you're unsure, select Help me choose.
  8. Check any of the boxes for the dialog boxes that follow (Optional) and click Next.  
  9. Select Begin Condense.

 

I also recommend not reactivating inactive accounts. Doing so will make your company file larger than it was. 

 

Additionally, the reason why there are missing Journal Entries (JE) during migration is that JEs with billable statuses don't move. The option to make it billable is currently unavailable in QBO. You also mentioned old transactions dated back to 2006, you can reconcile them by following the steps stated in this article: Reconcile transactions that are older than your opening balance in QuickBooks Online.
