Quickbooks Premier MultiUser Limitations

good morning,

 

my client recently moved to QB Premier. It is a small shop of only 2 employees but may be moving to 3-5 shortly. They started from scratch after moving away from a VERY old business accounting solution. They have a couple of major gripes, and questions I cannot seem to find an answer to. They are using Premier in a server-hosted company file. main issues:

 

1. they are told they must exit Multi-User mode when doing things such as adjusting inventory. this is a big one, since they are constantly doing that, and forcing the other user out holds them up way too much. 

2. they must exit MUM as well when one of them is in a Sales Order Fulfillment worksheet. 

3. they are constantly prompted to refresh because "another user has made changes", however, the other user has not made any changes. this happens quite often.

4. if they forget to close QB at the end of the day, in the morning they are greeted with a message "Connection has been lost...you may have to re-enter data...etc"

 

could the server/client setup have an issue? I followed SOP in setting it up. Used FileDoctor and no issues found. They both open QB on their workstations and open the server-hosted company file. Is this incorrect?

they feel they should both be able to work in MUM much more than they can currently. Instead, they are constantly being told they must exit MUM to continue, while the other user taps their finger...

 

would Enterprise offer more robust MUM, without these limitations?

I want to make sure you're able to QuickBooks Desktop.

 

There are certain tasks in the program that can be and can't be performed in multi-user mode. See this link to learn more about the features available and tasks you can perform in single or multi-user mode

 

Also regarding the workstation issues, we need to forward you over to our technical team, so they can help you out. You may request a viewing session, when needed, to help them sort out the problem. Use these steps to contact us: 

 

  1. Open QuickBooks and click the Help menu.
  2. Select QuickBooks Desktop Help.
  3. On the pop-up screen, select Contact Us.
  4. Click the Search for Something else button, then type your concern in the Ask us anything box.
  5. Hit Search, then scroll down to get your contact options.

I have seen my feature list matrix before, and according to that, "Items & Inventory" is one of the items that should be able to be used/changed in MUM. However, they are alerted they must change to Single User Mode if they attempt to make changes to Inventory. Are we missing something? Is something perhaps misconfigured?

I have seen that feature matrix before. I see that "Items & Inventory" is listed as being able to be used in MUM, however, when we go to make changes QB tells us that we need to switch to Single User Mode to make changes. Are we reading this wrong, or, is something mis-configured?

I can help you resolve the error you're having when making changes with your inventory item, @delvalops

 

There may be some minor data issues with your company file that's why you're having this prompt. Try running the Rebuild and Verify Utility tool to fix possible data damage on your company file.

 

Please follow the steps below:

 

  1. Go to the File menu, then select Utilities and choose Rebuild Data.
  2. Click OK in the QuickBooks Information window.
  3. Wait until the repair is done. Then, click OK.
  4. Then, go back to the File menu and select Utilities and choose Verify Data.
  5. Click OK if QuickBooks doesn't find any problems. Or Rebuild Now if it finds issues with your company file.

 

If you still get the same issue, let's try running the QuickBooks File Doctor to fix common issues. 

 

  1. Open your QuickBooks Tool Hub.
  2. Select Company File Issues.
  3. Click Quick Fix my File.
  4. Choose OK when it completes and launch your QuickBooks.
