AFLAC Deductions

Hi there, SB271.

I can share information about setting up AFLAC deduction in QuickBooks Desktop (QBDT).

Since you have a biweekly payroll schedule, the option to set it up as semi-monthly is currently unavailable in QBDT. As a workaround, you can manually remove the amount for the AFLAC from the paycheck, so you won't be deducted biweekly.

Here's how to set up the AFLAC deduction:

  1. In QBDT, go to the Lists menu at the top, then Payroll Item List.
  2. Click Payroll Item, then New.
  3. Select Custom Setup, then tick Next.
  4. Choose Deduction, then Next.
  5. Enter a desired name, then Next.
  6. Enter the agency name and pick the liability account, then Next.
  7. Click the tax tracking type, then Next.
  8. Hit Next on the Taxes page.
  9. Select Neither on the Calculate based on quantity page, then click Next.
  10. Select gross pay, then Next.
  11. Enter the rate and limit, then hit Finish.

Once done, you can now add it to the employees' profiles. Here's how:

  1. In QBDT, go to the Employees, then go to Employee Center.
  2. Double-click the employee name to open their profile.
  3. Go to the Payroll Info tab.
  4. Under AdditionsDeductions and Company Contributions, add the AFLAC item.
  5. Enter the amount.
  6. Hi OK
