Autopopulate QB User ID on printed form - Who created sales order?

I am wondering if QB has the ability to autopopulate/autofill a data box with the signed in user ID, so I have a printed log on sales order of who created the sales order.  I have 35 users and going through transaction history in QB isn't working for us, and my users are too lazy at times to enter their own name/data in the field I created, so I am looking to know if there are QB programming commands to pull certain pieces of data to autofill?

You can run the Audit Trail report in QuickBooks Desktop (QBDT). You can customize and filter it to only show Sales Orders and the last user who modified it.

 

Here's how to pull it up:

 

  1. In QBDT, go to the Reports menu at the top and choose Account & Taxes, then Audit Trail.
  2. On the report screen, click Customize Report.
  3. In the Display tab, place a checkmark on the Last modified by in the Columns section.
  4. Now, go to the Filter tab and search for the Transaction type.
  5. Pick Sales Order, then hit OK.
  6. Enter your preferred date.

Thanks for the note, but I am in need of the data printed on the sales order, as the steps you noted are already known, but is too much work and not productive, and our internal process would benefit immensely from having the data on the printed sales order, and my users can not be trusted to put the data in themselves.

Can you advise if it is possible to auto-populate the user sign-in ID into a field on a form?

At this time, the option to auto-populate a user's sign-in ID on a form isn't available in QuickBooks. Pulling up the Audit Trail report is the best way to verify who has the last user modified the transaction.
