Hi
I'm helping a small non-profit set up their accounts. They are a US 501c3 but undertake their work in Uganda. Ideally, the Ugandan manager would enter all of their expenditures directly into QB to try and minimize the duplication of effort for our US based director. Unfortunately, they don't have a reliable or fast enough internet connection to be able use QB Online in Uganda. If i purchase a desktop version of QB and set it up for them, is it feasible for them to enter in their transactions (as journal entries?) in Ugandan Shillings and regularly export and email the file to the US ED for her to import into her desktop QB provided she has the multi-currency feature enabled? Is this feasible? Am I missing anything? Any advice or suggestions for how best to manage the above scenario greatly appreciated.
If the internet connection is unreliable, consider using the QuickBooks Desktop Premier edition. You may submit your request to TechSoup to get the license with special price for Non Profit.
Another option, you may purchase the license of 1 user for $500 to Intuit or <$400 thru a partner.
You may send the data file in QBM format by email or put in public cloud (e.g GDrive) to compress its size.
Thank you - yes the plan was to use the desktop version and purchase via techsoup. But QB support are currently telling me that owing to regional differences in date/time/etc between Uganda and the USA, that it isn't feasible to use that approach. Data exported from our staff member in Uganda may have been recorded in a slightly different format as a result of the regional differences and therefore won't successfully import stateside.
the alternative is to have them continue to record their transactions in Excel but I'm not clear how straightforward it is to set up a template that could be used by the stateside director to import. They really only have two transaction types - salaries and purchases so it's pretty basic but i haven't quite found what we'd need to do in my google search!
Utilize the trial license of Pro 2020 to ensure your needs.
We help many non profit organization in across Asia, Africa & Europe using QB Desktop Premier. Therefore I am not sure why that support agent mentioned about regional differences in date/time/etc.
Thanks - that’s a great suggestion and we will certainly try it to see if there are any issues.
on a related note, are we able to export the company file by date? Trying to work through the logistics of how Uganda would send their monthly transactions to be added to the company file being maintained in the US? Or do we need to consider a 3rd party add on that would allow for export and import via Excel?
Many thanks for taking the time to provide suggestions - greatly appreciate it!
You may consider one of these 3rd party migration tools
