Bill numbers on recurring templates in Quickbooks Online

When a scheduled template runs to create a recurring vendor bill, how is the "Bill No." generated?

My client has over 50 recurring bills that generate on the same day, and when they ran a couple of days ago, about half of them had no Bill # come through, only "N/A" in that field.

It's good to see you here in the Community forum, LoriLon66.

 

I'll explain how the Bill No is generated on the scheduled recurring bill. This field is empty when you run the template. Hence, the bill number should be entered manually upon using the recurring bill.

 

Let me show you how to do it.

 

  1. Go to Settings ⚙ and then select Recurring transactions.
  2. From the Action column, click the arrow, then choose Use.
  3. Enter the bill number.

  4. Review the form.
  5. Click Save or Save and schedule payment.

 

To prevent duplicate numbers, you can warn QuickBooks about this. Here's how:

 

  1. Click the Settings ⚙ icon, then Account and Settings.
  2. Select Advanced from the left menu, then go to Other preferences.
  3. Turn on the Warn me when I enter a bill number that's already been used for that vendor option.
  4. Click Save, then Done.
