Can I migrate sales rep data from QB Mac desktop to QBO?

I would like to make the switch from QB Mac desktop to QBO.  We have a small company with 4  sales reps, and I have been given inconsistent answers to my questions when speaking to QB phone support representatives.  I know that there is no dedicated sales rep field in QBO and that it can be created with tags, classes, or custom fields.  I have two basic questions I am trying to answer before I commit to the switch. Question 1. Can my sales rep history be successfully migrated into QBO?  For example, if I make the switch tomorrow, will I be able to view year-to-date sales totals for the individual reps? Will I be able to look at an old invoice and see the sales rep whose name was attached to that sale? I have been told yes this is possible with both QBO Plus and Advanced by one QB support person, and another rep told me that I could only access my sales rep history if I migrate into the Advanced version. Can someone please clarify this?  Second question. Are classes better than custom fields for tracking sales rep total sales?  So far in my experimenting I like the class feature much better than tags for tracking sales reps because class seems to be more useful in reporting, tags is too limiting I think. I’m not sure if custom fields would be better than class for this purpose.

Let me answer your first question. If you're referring to sales per assigned customers, then yes, you can migrate. However if you're referring to Sales by Rep, it is only available in the QuickBooks Desktop version. If you want it in QuickBooks Online, you can utilize the custom fields and add Sales Rep in the column as a workaround. After that, pull up the Sales by Customer Detail report and filter Sales by Rep. Since this is just a text field, so you'll need to assign a sales rep every time you create an invoice or sales receipt.

Furthermore, about question number 2, Custom fields let you track the information that matters most to you and your customers. However, Classes represent a meaningful part of your company, like store departments or product lines. You can use them to get deeper insights into your sales, expenses, or profitability for each part of your business.

Can I migrate sales rep data from QB Mac desktop to QBO?

You have to migrate your Sales Reps data manually to QBO. Otherwise, consider purchasing a 3rd party conversion service and you may ask to migrate the Sales Rep data and other non-posting transactions (e.g estimate, purchase order) and/or attachments if required.

 

QBO Plus is enough for your case. You don't have to use QBO Advanced.
