We had a previous employee create a bill pay account within QB, but it was only partially done. I am in the process of trying to reconcile the past year. Am I able to just undo this account she created? And transfer everything in the bill pay account to the respective account, such as Supplies, etc?
Hello, TRCtw.
I want to ensure you're able to track your online bill pay transactions in QuickBooks. Therefore, I would like to ask a few verifying questions.
Are you trying to transfer information to your current and updated online bill pay account from the old account created by your previous employee? Or You want to transfer transactions from one online bill pay posting account to the other? Any additional details will help me provide the appropriate resolution of the issue.
Keep me updated in the comments below. Hope to hear from you as soon as possible. Take care and stay safe!
I am honeslty not sure what our previous employee did. It is not online bill pay though, it is for all of our payments. The account was created to help keep track of upcoming bills I suppose, but most of our bills are paid upon receipt, so this additional step is not needed. I am not able to edit the account within QB, it will not let me change from 4010 (the acct that was created for the bill pay) to another account such as 9225 (supplies), etc. I would like everything in their respective category and I am hoping to transfer things out of the 4010 acct we have into their individual category. Please let me know if I am making sense.
Thank you!
Hello @TRCtw, thank you for getting back to us and providing more information about the transactions you want to move to another account in QuickBooks Desktop. I am here to assist you with the steps to make this process seamless.
Since you can't edit the accounts in QuickBooks, you can delete and recreate the bill payment transactions and link them to the correct accounts. Before doing this, ensure that you take note of all the necessary details so you can easily recreate them later. For details, follow the steps in this article: Void or delete a bill or bill payment check.
However, if you have multiple transactions linked to your accounts, you can transfer them to other accounts by creating a journal entry. Follow the steps outlined below to do this:
For more details about journal entries in QBDT, see this article: Create a journal entry in QuickBooks Desktop for Windows or Mac.
I suggest seeking help from your accountant to determine the appropriate account to utilize. They can offer guidance on selecting suitable accounts and other methods to accurately record this information.
I would like to suggest some resources that may assist you in effectively tracking your payables and reconciling accounts with ease:
