Since a very recent update, we are now unable to add time charges (from QuickBooks Time) to an open invoice. I called support and they said that feature was removed from the new QBO interface but could not explain why. They said to send two invoices instead. Why would QuickBooks remove this time-saving feature???
I can see how the recent update has impacted your workflow, @ebricks. The ability to add time charges directly to an open invoice was indeed a valuable feature. You'll be glad to know that your goal is still possible.
Please ensure you've selected the Billable option for the time charged to appear in the Suggested Transactions.
First, let's verify if the billable expense feature is turned on. Here's how:
Afterward, check if you've billed your customer for the time charges. Once confirmed, let's open an existing invoice to add it.
Moreover, to maintain accurate and up-to-date financial records, record any payments received so your invoices will be marked as paid.
While the interface has changed, your goal of adding time charges is still achievable. If you have any other concerns or questions, I'm always here to help.
To add to this, i am having the same issue. However the invoice was already paid for and our vendor sent us a bill afterwards. The "suggested transactions" is not showing up even though everything else was done the same way. the bill is dated for when it was processed which was prior to the invoice (i.e. invoice is only 1 month old while the bill is 2 months old). I am having this issue on several invoices
Thank you for bringing this to our attention, user0408. Allow me to further clarify the process of adding billable time entries to your paid invoices.
You can add time entries to an invoice regardless of its status, provided that the time entry is linked to the appropriate customer/project and has been marked as billable.
Since you've confirmed that you followed the steps provided by my colleague above, the reason they are not showing in the Suggested transactions is a possible browser issue. Browsers use cache to speed up the loading of web pages, but over time, it accumulates and leads to unusual behavior of the program.
To fix this, log in to your QBO account using an incognito or private browser window. This will enable you to work with a clean slate. Please use these keyboard shortcuts:
Then, add the billable time charges again. If it's successful, clear your browser's cache to remove specific issues and help the program run efficiently. Also, you can use other devices and supported browsers to ensure everything works as expected.
Additionally, you can create and send customer statements to remind them of their upcoming deadlines.
Please return to this thread if you need further assistance with adding your billable time entries to your paid invoices, user0408. We're here to guide you through the steps.
I turned on Make expenses and items billable, although I don't understand how that applies. These are not expenses, they are time charges coming from QuickBooks Time. It also did not change anything - still can't add them to existing invoices.
All of the time charges are definitely marked as billable since that would be the only way they'd get into QuickBooks when I export the approved time. Non-billable items don't get exported from Time into QBO.
Lastly, I double-checked that Automatically show suggested transactions was checked, and it is. None of these suggestions has worked.
Interestingly, if a client has more than one time charge, and I convert one of them to an invoice, it allows me to add the other to that new invoice as expected. But (for years) it's been allowing us to add these time charges to existing invoices and that functionality needs to be restored.
Let me help you add time charges to your existing invoices, Ebricks.
First, after ensuring that the Automatically show suggested transactions checkbox is checked, you must click the Suggested transactions and carefully review the active filters. Remove or adjust any filters that may be unnecessarily limiting your results. Here's how:
However, if you have already performed all the steps mentioned above, including the basic troubleshooting measures provided by my colleague, JanbonN, but still cannot add the time charges, I recommend contacting our Live Support Team. They have the tools to securely access your account, investigate the problem further, and offer an accurate solution. Here are the steps to contact them:
