Company Preferences unselecting itself on the (allow negative quantaties)

We would like for this chain to always be selected.

  1. Go to the Edit menu and select Preferences.
  2. Click on Items & Inventory, then choose the Company Preferences tab.
  3. Under Inventory and purchase orders, make sure it’s active.
  4. Select “Warn if not enough inventory to sell”.
  5. You can choose one of the following options:
    • Don’t allow negative inventory quantities (to keep your books accurate).

However, whenever we go to invoice orders each day that box has magically unselected itself, then allowing us to invoice an item even if it isn't in stock, and just changes the inventory to a negative quantity.

Any ideas how to fix this?

Company Preferences unselecting itself on the (allow negative quantaties)

Sudden deselection of the Don't allow negative inventory quantities from the company's preferences can occur due to a temporary issue with the program or the company file, @SodaEx.

I'd recommend updating your QuickBooks Desktop (QBDT) firsthand. Then, run the QuickBooks Tool  Hub or Verify and Rebuild to fix the issue. I'm here to guide you through the troubleshooting process.

Depending on your QBDT version, you can follow the steps in this article to keep up-to-date with the latest program improvements to ensure that the program runs efficiently: Update QuickBooks Desktop to the latest release.

After this, run the QBDT Tool Hub to perform a quick repair on the program. Here's how you can install and run the Tool Hub:

  1. Close QuickBooks.
  2. Download the most recent version (1.6.0.5) of the QuickBooks Tool Hub. Please save the file somewhere you can easily find it. If you've installed Tool Hub before, you can find out which version you have. Select the Home tab. The version will be on the bottom.
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. Double-click the icon on your Windows desktop to open the tool hub.
  6. Select Program Problems. Then, choose Quick Fix my Program.

If the issue persists, run the Verify and Rebuild tool within the software to repair the company file. Please refer to this article for the detailed steps: Verify and Rebuild Data in QuickBooks Desktop.

When you're ready to receive customer payments, let me add this article as a future guide: Record an invoice payment

We'll be here in the Community if you have updates about the problem of automatic deselection of preferred options in your QBDT's preferences. We're committed to offering ongoing support. Take care!
