custom field on item to appear on invoice with Quickbooks 2019 for Mac

I've added a custom field to an item number called "Code".  I did this on the item, not as a global change, if that is possible.  I've added a field to a custom invoice template and renamed the field from "Other 1" to "Code", thinking that would cause the invoice template to pull in the custom item field into the invoice when listing that item number on the invoice.  This did not work.

 

So, can I, or should I add a custom field to all of my items (called Code)?

How do I get the data from the custom field to automatically populate on the invoice?

Thanks for reaching out to the Community. I can help provide some details about customizing field to invoice form in QuickBooks Desktop for Mac. 

 

You're on the right track renaming the invoice field column from "Other 1" to "Code". Make sure to mark the Print and Screen as checked to reflect the changes on the invoice template.

Once done, don't forget to set the template you've customized as default to show the changes when creating an invoice. Set as default.PNG

Thanks for the reply.

 

I had done most of that, and it was not working.  Jumped back into this and looked at the field chooser and  the "Other 1" that i had changed to Code was listed and checked in both Print and Screen, as you have.  But now there are two additional fields listed, notes and Code, which are custom fields from the item listing, Code being the one I just had added earlier today.  So i unchecked the marks for the Other 1/Code and checked Print and Screen for the Code that just  now appeared.  After trying a few times, seems like it has refreshed and seems to be working, that is, the Code heading/column appears on the invoice and the field is getting populated on the item number in which i put test data, it is null for items that don't have data in the field.  Good stuff!!!

 

Now, I want to add this "Code" field to all of my items, can i do this globally or do i have to go into each item and add/define the custom field?  I realize that i have populate this field manually, but would be nice if i did not have to create the field for each item.... i have about 300 items

 

Or should i try and export to excel, make the changes and import into QB, if that is even possible?

 

As far as your suggestion in making this the default Invoice, I'm reluctant to do so as we have two invoice forms that we use depending on the customer. But it seems to be working an we pick the form that corresponds to the customer that we are working on.  

 

one last item, in getting this to work, i've created many invoice templates and would like to delete those that i do not need, is there a way to do this?

I also appreciate you for following the solution provided by my colleague in this thread.

 

To add up, setting the customize invoice template as default will apply on the sales form, not on the item.

 

To delete an invoice template:

  1. On the Invoice Template pop-up, choose Edit current template.
  2. This will open the Layout Designer.
  3. Choose File, then click Delete Template.
  4. Select a template, then click the Delete button.

It seems to be working, but i can not change the font (type, size and un-bold) of the data in the custom column.  I can modify the fonts in all other areas of the invoice, but not in this custom column.  any advice?

The option to change the font type and size of your custom column isn't available. I'll share this idea with our developers. They'll review it and may be added to our future updates.

just to make sure that i understand -- i cannot change the font size, font type and bold/un-bold on a custom invoice template on the data from the custom field that I created in the item list.   

 

I can change the all of the other data for the item in the other columns of the custom invoice template....that is, the item name, description and price.  

 

Currently the information from the custom field is coming across too large and is bold.  

Can I change the font parameters somewhere in QB?

Allow me to step in, Whillyjo.

 

You're able to change the font size and type of the custom field created from the Item List. On the invoice template page, make sure to select the column or the body section.

 

Here are the steps:

  1. On the invoice, select the template drop down and choose Edit Current Template.
  2. On the invoice template page, click on the column or the body section of the template.
  3. At the top menu, choose Format and the Formatting Palette window will appear.
  4. From there, choose the Text tab and click on the Font button.
  5. In the Fonts window, select All Fonts under Collection.
  6. Choose a font type/size/boldness in the Family, Typeface and Size columns.

thank you for the great instructions, but that is what i have done in the past.

i created a new template and test customer/item/UPC data, with the UPC data being the custom field in the item master.

I created an invoice and it created an invoice as in the past with the custom field (UPC data) bold and slightly larger than the rest of the fonts in the body section of the template. 

 

I then followed your instructions and selected the whole body section of template/invoice.  I selected a larger font size (12pt) to make it obvious what is going on. I then saved it and the invoice then updated with the change in size.  

 

As you see from the screen grab, all of the text in the body section changed (increased to 12 pt) except for the UPC data, it remained the same size it was previously (which is now smaller than the rest of the body section) and and remains bold.

 

The only difference that i can see from my screen grab and yours is that Layout Designer populated your "My Custom" column with "Sample", mine does not put sample text in when i added that column.

 

Thanks for helping me, it is still not working.  Can you see what i am doing wrong?

You're almost there, Whillyjo.

 

There's another way to edit the font in the custom field. Let's click on the UPC column first before changing the font style and size. Here's how:

  1. On the invoice template page, select the UPC column.
  2. Follow the same steps above to edit it.
  3. Choose the 12 pt and unbold it.

 

Once done, let's try to see the preview. It should now be the same as others.

Thanks for the input.  

I tried your suggestion and unfortunately it did not work, see attached.

I can follow your suggestion on other columns and i can get the font to change, but not on the UPC column.

From there, someone can share with your screen and personally help you customize the font style and size of the UPC column of your invoice template.

I did call support and essentially went through the same steps as described here.....to no avail.

 

Kevin, the tech, then said something about starting over.  The custom invoice that i was working on happened to be about a 5th generation invoice.  That is, i had taken a standard item/product invoice and modified by adding a logo, moving columns etc.....  When starting from a fresh invoice and making a few changes, one of which is adding the custom field, it seemed to work.  That is, i could change the font in the custom field column....for awhile.  When i first added the column, the "sample" appeared in the normal spot . after a few more changes to the invoice....nothing to do with the body of the invoice....the "sample" would disappear....and i could not change the font.  

 

Playing around with it some more, i found if i uncheck the print and screen for that particular field, then re-add it, then the "sample" would appear again, and i could once again modify the font. I might have saved it between the uncheck and check....can't remember. 

 

So, as long as the "sample" word is present, i could modify the font.  once it disappeared, i could not modify the font.  Cycling the print and screen check mark off then on, and the "sample" came back.

 

Thanks for all of the offers of assistance.  finally have the invoice looking the way that i want.
