Data Migration from QuickBooks Desktop trail 24 version Business central

We're working on a client requirement to migrate QuickBooks Desktop data (dating back to 2015) to Business Central. To understand the migration process, we've implemented a test migration using QuickBooks Enterprise Solutions 24.0 trial version. Here's our process and the challenges we're facing:

1.We used the Microsoft Data Exporter to create a zip file.
2.We imported this file into the Business Central Data Migration Wizard.

However, we're encountering two main errors:

"The migration has stopped because we found some customers in Business Central. You must delete them and then restart the migration."
"Could not find a part of the path 'C:\ProgramData\Microsoft\Microsoft Dynamics NAV\240\Server\MicrosoftDynamicsNavServer$MS\users\msft1a6720t64127757\749e27df-b030-4d40-9a66-348e33c134ae\TEMP{56AD6F13-E54C-4CA4-9FF7-328284C12659}'"

We're seeking advice on:

1.What's the correct approach to migrate data from QuickBooks Desktop 2015 to Business Central?
2.How can we successfully implement a data migration demo on QuickBooks Enterprise Solutions 24.0 trial version ?
3.Are there specific considerations for migrating older QuickBooks data (2015) compared to more recent versions?
4.How can we resolve the errors we're encountering?
5.Any insights, best practices, or step-by-step guidance would be greatly appreciated.

Thank you in advance for your help!

You may have 3 options:

1. Start data in BC from scratch. You will access historical data in QB Desktop

2. Use the exporter tool to export data from QB Desktop to csv files. It's a $299 one time license and you can get $100 cashback to purchase the license from a partner.

2. Purchase a 3rd party service to convert your data.

I appreciate you coming to the Community about migrating QuickBooks Desktop 2015 data to Business Central, @kamal121.

The only way to synchronize QuickBooks with Microsoft Dynamics 365 Business Central is by using the online version of our product.

For this to work, you will need to upgrade your QuickBooks Desktop 2015 version to a newer version before converting it to QBO.

On the other hand, you may consider Transaction Pro since it's used for importing and exporting transactions from and to QuickBooks Desktop (QBDT).

For the best practices and guidance:

  • Always perform a full backup of your QuickBooks data before attempting any migration.
  • Test the migration process thoroughly using a copy of your data before attempting the live migration.
  • Work closely with your Business Central partner to ensure the migration is properly configured and executed.
  • Be prepared for potential data cleanup or formatting that may be required after the initial migration.
  • Have a plan in place for handling any data discrepancies or issues that arise during or after the migration.

I'll add the article on how to import and export data in QuickBooks Desktop an as a future reference.

I'm always to back you up whenever you have other questions about migrating your data. Take care

Thank you for your response, @AbegailS_ . Your assistance has been invaluable. I have a few questions about the migration process. According to the links you provided, we need to purchase a license for the upgraded desktop version. I would like to know the cost of the license, the best version to upgrade to, and the detailed pricing.

As per my understanding, the process is as follows:

  1. Take a backup of the company file.
  2. Purchase the license for the version we want to upgrade to.
  3. Install QuickBooks Desktop Manager.
  4. Purchase a new version or get a subscription that allows us to upgrade.
  5. Upgrade to the desired version using your license number or email.

Please guide me if I missed anything.

I also tried migrating from QuickBooks Online to Business Central and the process was smooth. However, I encountered an error stating, “The migration has stopped because we found some customers in Business Central. You must delete them and then restart the migration.” I am unsure why this error occurred. If there are customers, will it not allow the migration? How can this issue be resolved?

I would like to post this text in the community. Could you please help me improve it and correct any grammatical errors? Thank you.

Do you need to migrate data to MS Dynamics 265 Business Central or another app?

Thanks for your prompt response, kamal121. I'll provide additional input when migrating data from QuickBooks Desktop (QBDT) to Business Central.

As mentioned by my colleague above, migrating your QuickBooks data to Microsoft Dynamics 365 Business Central is through utilizing the QuickBooks Online program.

Since QBDT has a 3-year-life cycle when upgrading your account, you can consider doing the bridging process (2016-2018; 2019-2021; 2022-2024) or creating a portable company file, then upgrade to the latest desktop version (2024). Please make sure to always secure a backup copy of your company file so you can restore them anytime in the future.

Additionally, you may opt to continue utilizing your QBDT 2024 trial version and then convert your data to QBO. Once ready, migrate your file to Business Central.

However, if you want to learn more about QBDT's plans and pricing, visit this resource for detailed insights: QuickBooks Enterprise Pricing. This also includes efficient features that can provide you with seamless processes when managing your account.

On another note, the errors you've received usually occur because there is similar existing customer information that was entered from Business Central (BC) to the data imported from QuickBooks. To resolve this matter, it's best to verify and check your customer data profiles from BC and delete the information from there to avoid duplicates after the migration.

If the issue persists, I suggest contacting the Business Central support team to further investigate your case and help fix the error.

Moreover, I'm including this reference to guide you with what data can be exported from the desktop program: Import and export data in QuickBooks Desktop.

I'll be around on this thread if there's anything else you need further assistance with when migrating company data. Keep safe and have a good one.

@kamal121

You can use the trial version of QBD 2024 Enterprise for free to upgrade your file. Then you can convert it to QB Online. You don't have to purchase the license of QB Desktop.

Thanks for getting back to us, @kamal121. I'll share some information on data migration.

If the QuickBooks Desktop (QBDT) trial version is still active, you don't need to buy an additional license. You can use it to migrate data to QuickBooks Online (QBO) for now. However, if the trial version is no longer available, you'll need to purchase a new license. To upgrade please refer to @FateCandylaneT recommendation.

Moreover, there's no need to purchase a QBO subscription; you can use the trial version. After moving data from QBDT, you can transfer it from QBO to BC (Business Central).

Additionally, for smooth sailing process of moving data from QBDT to QBO, check this guide: Move your QuickBooks Desktop file to QuickBooks Online.

Let us know if you have follow-up questions about the migration from QBDT to QBO or if you need further guidance in the process of transferring data from QBO to BC. We're here to help. Have a good one.

hi @ShangY , @FateCandylaneT
thanks for your response
1. here is the migration plan  we are planning to perform as we have an active plan 2015 desktop version we will  create a portable company file (even this process needs the QBDT should be in the latest version if this is needed I want detailed pricing in plain words how much it cost 2015 - to the version I can perform converting QBDT----->QBO)
is there any way to perform this migration without purchasing any license (because they might not use Quickbooks in the future)
is it necessary to take a subscription?
2. we will get the 2015  company file and imported into the 2024  free trail version from that  trail version move to QBO then to business central

is there any another way that its can be done ??

Thanks..

I am confused. Why did you ask the same questions? You can upgrade your file from QBD 2015 to QBD 2024 for free. Then you can convert your data to QB Online. Did you encounter ay error message?

Migrating data from QuickBooks Desktop to Business Central is quite challenging. Allow me to address your questions, @kamal121.

Based on the information given by my colleagues and other Community members, you don't need to purchase a QuickBooks Desktop (QBDT) license number because your account is still active.

And yes, you can upgrade your QBDT 2015 to QBDT 2024 for free by downloading our QBDT Enterprise 2024 trial version.

Once you've upgraded your QBDT account, you can move your data to QuickBooks Online (QBO). You also don't have to purchase a QBO subscription since you can utilize our trial version for free.

If you want an alternative way of migrating your data from QuickBooks to Business Central, you can look for a converter tool online.
