Deleting a Sales Order.

I'm looking for recommendations on best practices for deleting a sales order.

A customer placed an order and then cancelled before it was Invoiced/Shipped.  In our old system, we would just delete it out.

Now that we are using QuickBooks, I was wondering if there is a best practice recommendation for sales orders that have been cancelled?  I don't see a void option which would allow it to zero out and remain accessible.

All suggestions welcomed!

Thank you!

Deleting a Sales Order.

Hello there, DBETHEA.

Thanks for reaching out to us. I'm here to help and guide you on how to delete sales order in QuickBooks Desktop.

Since Sales Order is a non-posting account, the only option is to manually delete it. To do this, here's how:

  1. At the top menu bar, click Customer.
  2. Go to the Customer Center.
  3. Select Transactions.
  4. Click Sales Orders.
  5. Look for the sales order transactions you want to delete.
  6. Click Delete.
  7. Select Save & Close to apply the changes.

If you need further assistance with the steps, I recommend calling our QuickBooks Desktop Support Team. They have additional tools to do a screen share.

Here's how you can contact our phone support:

  1. Click this link: https://help.quickbooks.intuit.com/en_US/contact.
  2. Select US version of QuickBooks Desktop, and click Contact Us.
  3. Type Customer Care on the search bar.

Deleting a Sales Order.

There's also an option to "close" a sales order. So is it best practice to "close" it or "delete" it? I'm thinking it might be better to "close" so I have a record of the order being cancelled.

Deleting a Sales Order.

Hello there, @tinaward.

Thank you for joining us in the Community. Allow me to help share some insight about canceled sales orders in QuickBooks Desktop.

You have two options to handle the dropped sales order-close or delete it on QuickBooks. If you wish to keep a record for this transaction, yes, you can close it manually. However, if you wish to remove it totally in the system, you can delete it and follow the steps provided by my colleague, JantRoseB.

I've attached an article and screenshot for additional reference: Create a sales order.

These resources should help to get you back on track and manage your sales orders in just a few clicks.
