Does anyone know if you can add Shipping Address to 'Projects' so that when you raise a Purchase Order for a supplier the delivery address for that project is displayed?

Currently when you add a 'ship to' and select the Project you want the Purchase Order to register against the address of the Client is prefilled. However, in the case of our business, we would want the delivery to be made to the 'Project address' NOT the 'Client Address'.

In QuickBooks Online, a purchase order (PO) uses info from the vendor profile to populate on the transactions. Then, we select a customer name in the Ship to field to have its address show up.

 

Thus, let's ensure to input the shipping address on the customer profile. Here's how to verify it:

 

  1. Go to the Sales menu, and then choose the Customers tab.
  2. Look for and open the customers associated with the purchase orders.
  3. Select Customer details, and then click the Edit button.
  4. On the Customer Information page, check if you have entered the shipping address. If you haven't already, please enter one.
  5. Make sure to check the Same as the billing address box, and then click Save once done.

I understand that you can add a ship to address in the vendor profile, but we sometimes have more than one project for the same client running at the same time. Adding a ship to address to the vendor profile would not really work, that's why I was wondering if it could be add a ship to address to the project

I recognize how important it is to add a shipping address to a project, danniellebateman_1. I'm here to share some insights.

 

The option to assign a shipping address to a project is unavailable in QuickBooks Online. As a workaround, you can use the Class or Location feature instead. That way, you're able to add the Ship to details.

 

Before proceeding, let's make sure the Class or Location feature is turned on. I'll show you how:

  1. Go to the Gear icon and then select Account and Settings.
  2. Choose the Advanced section, then select Categories.
  3. Turn on the Track classes or Track locations button.
  4. Select Save, then Done.

 

Once turned on, you can now create a class or location for the shipping address. You can check out these resources for the detailed steps:

 

Also, I encourage sending a feature request directly to our Product Development team. This helps us improve your experience and the features of the program. Here's how:

  1. Go to the Gear menu and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.

In case you want to analyze the profit margins per project, you can a report in QuickBooks Online. To do so, I'd recommend going to the Project Reports tab. Then, choose the specific report you'd like to run.

Did anyone find a workaround for this? I also have the requirement to Ship to Project address for POs in QBO.

Thanks for getting involved with this thread, kevinamfs.

 

Since projects have customer profiles attached to them, their addresses are based on your customer's address. When creating purchase orders, you can use the Ship to drop-down list to select an appropriate project, then its customer's address will be displayed in your purchase order's Shipping address area.

 

If your project has an incorrect address linked with it through the customer profile its attached to, you can change it while editing that customer's profile.

 

Here's how:

  1. In your left navigation bar, go to Customers & leads.
  2. Access the Customers tab.
  3. Find and click the display name of your customer that's attached with the purchase order.
  4. Use your Edit button.
  5. From the Addresses section, make any necessary changes.
  6. Select Save.

 

Now when you choose your project from a purchase order's Ship to drop-down list, it will display the new address.
