"Email Later" NOT working: customer invoices created with QB "batch enter transactions" {QB Desktop}

Settings are CORRECT yet "Email Later" is not checked on customer invoices created using QB "batch enter transactions." 

 

>>> Company > Batch Enter Transactions > Invoices & Credit Memos {data copied/pasted from Excel}

 

All customers have E-mail selected for preferred delivery method & send form preferences are properly set:

 

>>> Edit > Preferences > Send Forms > Auto-check the "Email Later" checkbox if customers Preferred Delivery Method is e-mail. {BOX IS CHECKED}

 

I am an authorized contact in QB, so I thought QB "help" could help. I was wrong. The answer provided was “You will have to manually toggle the email later option”. 

 

If manually toggling invoices to email later is the only solution that QB can come up with then I'd say this is a defect that should be brought to the attention of product development so they can FIX it.

 

Looking for a true solution, ideally not one that involves buying an external product - or "toggling".

 

Using QB Enterprise Solutions 24.0. I ran "rebuild data" 2x, errors cleared on 2nd run. No need to recommend that again!

I acknowledged your effort in contacting our support to clear up why the Email Later tab doesn't auto-check even if the preferences are set up correctly. I'll provide steps to fix this so you won't have to toggle it manually.

 

Since the Auto-check the "Email Later" checkbox is ticked and the customer's Preferred Delivery method is Email, let's review your user role to accurately see if it's set up right. Here's how:

 

  1. From the Company menu, select Users.
  2. Click Set Up Users and Roles.
  3. Type in the admin password, then tap OK.
  4. Select the Role List tab, then click View Permissions.
  5. Choose the roles you want to review, then click Display.

Thank you for your response.

 

Can you expand on how changing from "Outlook" to "Web Mail" is going to auto populate the "Email later" checkbox? I am reluctant to change the setting without further explanation.

 

Customers already have email as the preferred delivery method.

Let me join the thread and provide some clarifications.

 

You don't need to switch the settings from Outlook to Webmail to enable the auto-populate email later checkbox when creating batch invoices. All you need to ensure is that the customer's preferred delivery method is set to Email, and the "Auto-check the Email Later checkbox if customer's Preferred Delivery Method is Email" option is checked in the Preferences.

 

To further troubleshoot the issue you're experiencing, we can review the user role setup to ensure it's configured correctly. For more details on this, you can refer to this article: Create and manage users and roles in QuickBooks Desktop Enterprise.

 

Meanwhile, since everything is set up on your end and you've already performed data damage troubleshooting steps but the issue persists, I recommend creating a dummy or sample company file and replicating the same setup for the customer and preferences.

"Email Later" NOT working: customer invoices created with QB "batch enter transactions" {QB Desktop}

Ever since Quickbooks forced the new invoice template on QB Online the "Send Later" option never works even when I manually select it for each invoice. Just time wasted. How did they update something and actually make it a huge inconvenience to use? Very frustrating since this has been happening for a week + and nothing has been changed.

If I could like your response multiple times I would. I am baffled that the QB solution is rarely, "we fixed it" - rather "3rd party vendor (for $$$)".
