Group items in QuickBooks Desktop - Enterprises

I currently use a "Group" item in QuickBooks Desktop Manufacturing - Enterprise, with the do not print set, for quoting purposes. I'm trying to figure out if there is a way when I turn the estimate into a Sales Order that the lines previously not printing from the Group could be made to print on the Sales Order.

 

For example I have a group set for quoting multiple items that go into making one part. When I print the Quote it only shows me a total for that Group on the Estimate, which is exactly what I want. When the customer places the order based on that Estimate I would like for the exact same items in the Group to show and print on the Sales Order so our works know what tasks are required to make that part. Is this possible?

I recommend looking for a third-party app that can integrate with QuickBooks Desktop. This way, you'll have the option to create a group inside of another group.

 

You can go visit our App store and look for an app that allows you to do this in QBDT.

Thanks for reaching out to the Community for support. I hope you're enjoying the day so far. 

 

Since it's working for you when using a quote, and not with sales orders. Then I recommend we open a sample company file and test if it works there. This way, we can rule out any template damage that may be causing it to not work properly in sales orders. 

 

To open a sample company file:

 

 

If it works in a sample company file, then you'll need to go back to your company file and create a new template for sales orders. I've included some steps to create a new template below. 

 

  1. Go to the Lists menu, then choose Template lists
  2. At the bottom left corner of the screen click on Templates, then hit New.
    •  
  3. Choose Sales Order.
  4. Customize your template then hit OK

Thank you so much for your hard work Tori.

 

In the group that I set up, I have intentionally told the group not to print. We are using this group in our quoting so that it rolls up all the costs for things such as material, cutting, shipping, etc. into one line item for the customer.

 

We'd like to take the same group and make it print on the Sales Order so that our shop people know exactly what is required to make this part, because the group has everything listed for them.

 

I tried to create another group, and is set to print, but QB does not allow a group inside of another group.

 

Is there another way to use the same group but have it set to print all of the line items? Or, is there another way to complete this task easier?

Wondering if you ever found a solution.  We have the same issue.  Use groups for the estimate, and all groups are set to NOT print individual items,  but want the detail to print out for internal review purposes.

I can certainly understand how an ability to create groups inside of another group could be useful and have submitted a suggestion about it as of today.
 

You can also submit your own feature requests while using QuickBooks.
 

Here's how:

  1. In your top menu bar, go to HelpSend Feedback Online, then Product Suggestion....
  2. Choose a Type of Feedback and Product Area (optional) from the available drop-down menus.
  3. Enter any suggestions/feedback in your Here is my suggestion: field.
  4. If you'd like, include your name/email in the My name is: (optional) and My e-mail address is: (optional) fields.
  5. Select Send Feedback.

I see that this issue shows "solved".. but how was this issue "solved" what did you do to fix this?  If by 3rd party app, what app was used.  We have the same issue.  We need the group items to appear for warehouse to "pull" the items included.. but dont want the group items to appear on the quote where our customers have to see every item that goes into creating the finished product.

Looking for the same thing - I'm curious if anyone has recommendations for the third-party app.  Groups are very useful to us, but not being able to run a report with pricing, or select print/no print for estimates vs. sales orders is very frustrating!

Were you ever able to find a plug in for this? This is a huge oversight on QuickBooks part as you don't want your customers to see all the line items when quoting but you do need your assembly technicians to see all the necessary line items associated with the grouping for the assembly process once the sale has been made. Frustrated!

This really is a large oversite on QuickBooks part. Groupings are a necessity for quoting so your customer does not see the list of components. A line item packing slip is absolutely necessary to be able to have assembly technicians successfully build the item that was quoted. 

 

At the very least you should be able to send an estimate with the items in a group selected as do not print and then be able to print a sales order or packing slip with the items in a group selected as print all items in group. 

 

Frustrating and a huge time suck to not be able to do this in a manufacturing based sales and financial tool!

To those of you looking for a solution that QBs has ignored for 15 years...

 

We use QQube (https://clearify.com/) to create our work orders.  This way we can set Sales Orders to not show all the subitems in a group - because the client doesn't need to see cables and connectors etc..  The developer helped us setup the process of creating a WO.  It was so long ago that I don't remember exactly what they did.

 

Of course QBs support closes unresolved tickets as "Solved" instead of "Closed no resolution"  It's called marketing.  This could be resolved with a simple code change that treats Sales Orders and Work Orders differently.   

 

Don't even get me started on the measly 4 lines available for editing Group items....
