How to Import Expenses, Credit Memos, and Receipt Payments in QBO Plus?

Hello QBO Community!

I’m currently using QuickBooks Online Plus and would like to know how to import expenses, credit memos, and receipt payments from Google Sheets or Excel.

I’ve seen references to a "Bookkeeping" tab for importing data, but I can’t seem to find it in my plan. Can anyone provide guidance on how to access this feature or any other methods for importing data effectively?

Any tips or resources you can share would be greatly appreciated!

How to Import Expenses, Credit Memos, and Receipt Payments in QBO Plus?

I'm glad to see you here, @jn_0101. I'll be happy to walk you through importing your Expenses, Credit Memos, and Receipt Payments into QuickBooks Online (QBO).

 

When uploading your expense transactions via Excel or CSV, you can go to the Bank Transactions page and select the Upload from file option. However, you'll need to follow the correct formatting before you can successfully import it.

 

You can select either the 3 or 4-column format. Check out the screenshots below:

Once you've prepared the file, you're now ready to import it. Here's how:

 

  1. Go to the Transactions tab.
  2. Select Bank Transactions.
  3. Click the Link account dropdown. It's located in the middle between the Banking alerts and Update button.
  4. Drag the file you created, and click Continue.
  5. Then, follow on-screen steps.

 

For the receipt payments, there are various ways to perform it from either your computer or mobile device. Additionally, you can only upload them via saved images on your computer, phone, and Google Drive. Before you start, please keep these reminders:

 

  • We don’t recommend uploading receipts or bills with sensitive or personal info, like credit card numbers.
  • QuickBooks supports PDF, JPEG, JPG, GIF, and PNG images. If you have HEIC images from a newer iPhone or iPad, you can convert HEIC images to a compatible format.
  • Receipt snap only supports home currency. It doesn't support different currencies.

 

Once you're ready, you can follow these steps: 

 

  1. Go back to Bank Transactions.
  2. Select Receipts.
  3. Click the Upload receipts tab on the lower right corner.
  4. Choose either Upload receipts or Upload from Google Drive.
  5. Then, follow on-screen steps.

Currently, the ability to import Credit Memo via Google Sheet, Excel, or any file format is unavailable in QBO. As a workaround, you can manually create a Credit Memo by clicking the + New icon from the Customers column. Or, you can look for a third-party application that can perform this function in QBO by clicking the Apps tab of your account or by visiting this link: QBO Apps Store.

 

In the meantime, you can send a feedback to our Product Development Team. If they see that having this feature would improve your experience in QBO, they can add this to our future product updates.

QuickBooks Online doesnt directly support importing Credit Memos and Receive Payments into QuickBooks Online Plus.  The best alternative is to use a third party data import utililty that supports Expense, Credit Memos and Payments that you can find in QuickBooks Online App Marketplace.   One such app called Zed Axis supports import from Excel, Text and IIF files there is a 30 day free trial that you can use to test with your own data to make sure it works for you before subscribing.

 

I hope that gives you a better alternatively to having to do manual data entry.
