Thank you for posting here in the Community. I'm here to help add an expiration date field for your subscribers/customers in QuickBooks Online (QBO).

 

If you're referring to adding the field on the invoice template, you can customize/add the field by editing the template under Custom Form Styles.

 

  1. Go to the Gear icon.
  2. Select Custom Form Styles under Your Company.
  3. Select the template in the Custom form styles page.
  4. Click on Edit under the Action column.
  5. Click on Content and click on the header section of  the invoice template.
  6. Click on Custom field under Display.
  7. Add the expiration date field.
  8. Click Done.

After following the steps provided above, you'll be able to add the field when creating invoices.

This answer helps me as well but calculating the actual date is the problem since members can pay for 1, 2, or 3 years. I guess I can manually update that field when recording payments. 

id also like to print it out on LABELS!

Yes, you're correct. You can manually update the custom fields once you record payments for your customers. Also, you can create your invoice or estimate template and import it in QuickBooks. This feature enhanced flexibility to your sales forms to highlight your brand.

However, if you're trying to print the mailing labels of your customer, you can pull up the Customer Contact List report and filter it by the customer's name and address. This way, you will have a copy of their information. Here's how:

 

  1. Select Reports from the sidebar menu.
  2. In the Search box, enter the Customer Contact Lists report.
  3. On the upper right, select Customize and filter the necessary details.
  4. Click Run report.
  5. Click the Print option (printer icon).
  6. Tap the Print button.

Are you referring to your QuickBooks Online (QBO) subscription? If so, you'll get an email notification if your subscription is already expired.

 

However, if you're trying to get an email notification of the expired service for your subscriber's invoice, this option isn't available. As a workaround, you'll want to open each invoice to verify if their subscription is already expired.
