I use SSN not EIN number for my 1099's The numbers are formatted differently. How do I change the format to account for SSN?

Quickbooks - you have got to fix this!  You are wrong!!  My client has a sole proprietorship with her SSN NOT an EIN #.  In account & settings it is set up correctly.  On the 1099 set up, it is correct & then when it creates the 1099 it puts it in EIN format & the IRS rejected it.

Hope you will be paying my fine!

I use SSN not EIN number for my 1099's The numbers are formatted differently. How do I change the format to account for SSN?

I am having the same problem with another Intuit product.  I am using Turbotax Home and Business quickemployerforms.intuit.com to file 1099's.  Have used for years with no problems.  They decided to change the software this year and it is not a good product.  Several clunky issues with the software just getting the information entered but I finally got it done.  I have used it for EIN companies submitting 1099's and sole proprietors using TIN submitting 1099's for years in the past.  This new software brought in all my data from the old software and nothing has changed.  I submitted for efiling both EIN and TIN submitters. All the EIN submissions were accepted.  All the TIN subsubmissions were rejected.  The email that I got was standard language like it was something to do with the individuals receiving the 1099's data was incorrect.  But that same data has been used for years in the past without issues.  Also they did not just reject one or two people, they rejected ALL 1099's submitted under the two sole proprietorships that were efiled.  I went in and checked the information for each submitter and each individual and the data is correct.

Some of these individuals were also listed in EIN companies to get 1099's and they were accepted!!!!  But if that name was under a TIN company, they were rejected.  That tells me that there is a glitch in the new software where it is rejecting TIN submitters.  Sole Proprietors.  When I view the PDF of these 1099's under the sole proprietors,  they have the correct formatting. So that cannot be the issue.  I have reached out to Turbotax support and even though the support person really tried all her avenues to figure out what is the problem, she was unable to.  I can find no support articles out there for this 1099 issue with quickemployerintuit.com software.  I am stuck.  I efiled these back in the middle of January  but because the IRS doesn't accept anything until later in January you are hindered by the lack of time to get this problem solved and efile again!!  So thankfully my two companies that are TIN filers have less than 10 forms so I will have to resort to filing paper forms for them if this doesn't get solved.  I have sent numerous feedbacks on Turbotax 1099 efiling new software.  But my experience from years and years in Intuit products since 1995 shows that I don't see anything being fixed from my suggestions.  I don't know of anything else I can do.

The Support Team is unable to resolve. This is the communication I received in bold below. The issue is that the IRS will charge for each 1099 beyond 10 and the deadline is 1/31. This communication is saying that the next scheduled update will be February 2nd. Why is Quickbooks not taking responsibility for this. This is a paid service.

You recently contacted a member of our support staff regarding unexpected behavior experienced in one of our products. Regretfully at that time we were unable to completely resolve your inquiry and promised to send you periodic updates to keep you informed.

Here is the latest update:

Engineers are aware of the issue and it is in the process of being prioritized/investigated. Although this is being actively looked at, we do not have an ETA for resolution at this time.

Our next scheduled update will be: Fri Feb 02 19:00:00 GMT 2024

You're not missing anything. As always, Quickbooks missed the mark BIG TIME on yet another "improvement" they rolled out before testing accurately. I'm so sick of them increasing costs under the guise of improving the product.

PLEASE STOP directing us to support. They don't have a clue what they are doing. They are giving bad tax advice and are saying that sole proprietorships have an EIN and do not use SSN's. They will waste hours of your time arguing this very basic part of tax code that is extremely easy to look up.

Let's fix your rejected 1099s in QuickBooks Online (QBO) so you can resubmit and file them accordingly, CD907.

Before we start, I'd like to confirm the troubleshooting steps you've already taken. This is necessary as you'll need to void your 1099s, correct the inaccurate information, and then e-file again to resolve this rejection.

We'll first need to see what 1099 forms were rejected and then void them. Here's how:

  1. Go to the 1099 filings tab (Select Taxes, then 1099 filings).
  2. Look for the alert ‌on the page. It'll indicate why the IRS rejected your 1099-NEC or 1099-MISC filings.
  3. From the 1099 filings tab, select Void forms. This will void all forms that have been rejected.

Afterward, correct the information that caused the rejection and e-file your 1099 forms again. For the complete guide, please see this article: Fix rejected 1099 forms.

Additionally, you might find this article helpful for finalizing this year's payroll and preparing for the next using QuickBooks Online Payroll: Year-end checklist for QuickBooks Online Payroll.

We're always ready to back you up if you need more help with your 1099s. Don't hesitate to add your reply below, and we'll circle back to assist you.

SHAME ON YOU, QUICKBOOKS!  NOT SO QUICK! You were notified of this problem 3 weeks ago and have yet to offer a resolution with 1099s due NOW. I sure as hell hope you plan to absorb all the late fees and costs associated with now having to file late rushing around to try and find a store that actually has paper 1099s, much less any left at this stage of the game. Further, contractors have to wait to their receive 1099s to file OR will have to AMEND a filing?! Get your act together and find a fix - like YESTERDAY.

is there a fix yet on the formatting issue with Tax ID.  My 1099 was rejected due to the TIN being formatted like an EIN instead of my social security number.  This seems to be an issue with the Quickbooks online script as it does not allow us to change it to the correct format.  When I confirm my company info it shows as SSN and has the right number but then generates the 1099 with the incorrect format.  I sure hope QBO has a fix for this and plans to reimburse lates fees filing 1099 since I did file ontime and it was rejected due to QBO glitch.

Hello there, @Dave33333.

I can see how the inability to generate the correct Social Security Number format hinders you from submitting your 1099s successfully. Let me route you to the appropriate support to fix this immediately.

QuickBooks Online utilizes the Employee Identification Number format when generating 1099 forms. Hence, I recommend contacting our Payroll Support Team during their support hours. They can give you timely alternatives so you can file your forms accordingly.

Here's how:

  1. Log in to your QuickBooks Online account.
  2. Select Help (?), then Contact Us.
  3. Please enter your concern and pick Let's talk.
  4. Either choose Start a chat or Get a callback.

On the other hand, consider scanning this material for guidance on handling declined 1099 forms: Fix rejected 1099 forms.

I use SSN not EIN number for my 1099's The numbers are formatted differently. How do I change the format to account for SSN?

I think part of the problem is you guys are not listening to what the issue is l, this has nothing to do with the employees SSN or tax ID number. It has to do with my business when I go to create a 1099 instead of using my SSN as you are supposed to it is putting it in the EIN format. The issue is a glitch in the QuickBooks program When it converts to a 1099 for the employee, it is listing the business tax ID, which in my case is an SSN in the format of an EIN. There are at least 20 or more post on this thread explaining the same thing and QuickBooks keeps coming back with the generic response. Just fix it already

I use SSN not EIN number for my 1099's The numbers are formatted differently. How do I change the format to account for SSN?

I talked with support yesterday. QB changed their software to require an EIN sometime between last year and this year and they KNOW that it does not allow for SSN. Problem is, no one was notified of this change AND SSN is perfectly acceptable to the IRS. QB said they will not refund the filing fee for the rejected 1099s. I spent all day yesterday on Tax Bandits, manually entering in my contractor's W-9s, so I could file my 1099s with a SSN. WHAT A PAIN! I'll be taking my business elsewhere from now on. Thanks QB.

Exactly!!! They will not listen to anyone at all and are just regurgitating the same generic info that everyone already knows! I was told they would have to evaluate the priority level of this problem and go from there. At the end of my conversation with a rep they basically just told me to keep trying to file and it would work even though I got emails saying my 1099s were rejected. They said the email being sent was an error… my brain can’t even handle this right now! I had to use efile4biz to file my clients 1099s using their SSNs

I am talking to an attorney about a class action if they don't refund the fees and fix this. I have multiple chats downloaded where they say that sending it in EIN format is fine and to go ahead and send it that way. As well as them suggesting I commit fraud. They put it in writing! LOL. I'll let you guys know his contact info if we end up needing it.

Do we know if Quickbooks actually mailed the incorrectly formatted hard copies to the recipients BEFORE they were electronicallyi rejected by the IRS? If so, I guess that part is kinda covered, even though the TIN box has formatted our payer's TIN incorrectly (SSN as XX-XXXXXXX instead of XXX-XX-XXXX). Waiting for Quickbooks help to call me know. I only have two 1099's I need to send. Anyone whose electronic filing was rejected by the IRS plan to print out the hard copies, whiteout the box and just use a pen to write in the payer's TIN (SSN) in the correct format? We can still just send them USPS to the IRS with a postmark of today, true? Low-tech, but that's where I'm at right now, with the post office closing soon. This is SO absurd!

I use SSN not EIN number for my 1099's The numbers are formatted differently. How do I change the format to account for SSN?

Yes they instantly sent the copies to the recipients.
I just informed the recipients they’d be getting a new one and filed through another program that mailed and emailed the 1099s to them. I would think where you just have two that you could let them know about the format issue and get them a new one as soon as possible just incase. The first one they get can be used as it does have the correct information on it.

@GIN765

As of this year, if you have 10 or more 1099's you legally have to e-file or else you can be fined up to $290 per form, plus other fines on top.

Is it possible that the customer service chat is also AI? It's given me some really bad advice, even told me to commit tax fraud! I couldn't believe that QB would have an agent of their company do that, AI would make more sense.

After all of this, them saying over and over that it's fine to do it this way and that you can't do it any other way. Now they decided to put up a disclaimer stating that you have to do the impossible... WTF!? And now I get to talk to some moron on the phone for 3 hours again and try to explain to them that Sole Proprieterships use an SSN? I think I'm just going to quit my job and work on this class action, lol.
