I want to stop using QB POS and go back to QB Desktop, how can I do it?

Hi there, @RobbyD. I've got the instructions you'll need to bring in your information to QuickBooks Desktop (QBDT).

In QuickBooks Point of Sale (POS), you can set up a financial exchange setting to transfer your data to QuickBooks Desktop (QBDT) and the other way around. Since you don't want to affect any of your existing data in QBDT, you can start a new company file during a financial exchange transfer. Let me show you how.

  1. Go to File.
  2. Select Preferences.
  3. Click Company.
  4. Under Financial, select Set Up QuickBooks Desktop Connection Now.
  5. Select Let me choose a new company file.
  6. Enter your Admin login credentials.
  7. Click Finish.

Lastly, I've also included this reference helpful for a compilation of answers to the most commonly asked questions while using POS: QuickBooks Point of Sale (POS) FAQs.

Feel free to post again if you have further questions or anything else. I'm always here to help. Keep safe.

Thanks for your prompt response, RobbyD. Let me help you import your inventory data to QuickBooks Desktop (QBDT).

When transferring your inventories to the desktop program, you can export them using the Default Excel template from QuickBooks Point of Sales (POS). To have a seamless transition, you'll need to ensure and follow specific templates and formats to prevent errors when moving your data file.

Before doing so, please note that the default template exported from POS must have 65,000 rows at a time when importing them. To guide you in exporting these data, you can refer to the steps outlined below:

  1. In QuickBooks POS, go to the File menu and select Utilities Then click Export.
  2. From the Data Export Wizard, click Inventory Items and select Next.
  3. Enter all the necessary data.
  4. Then, from the Choose export template, you may select the default inventory template.
  5. Select Next.
  6. Validate if the records ready for export are correct and click Export.

Once done, you can modify all the information from the template and import them to the desktop program.

I'm sharing this reference to help you review your business finance and other accounting data: Understand reports.

QB Moderators  only offer a bunch of bogus answers.

You need to get to WebGility. Sync the Inventry there, then move the plugin to QBD to get all the inventory back.

The other option is to useoftware for bulk transfer like transactio PRO. But be ready to spend time to get the results you are expecting. With Enterrprise whis is easy.  IT  will get you all the data transfer including the receipts. but you have to carefully set up the columns.

PLease, keep me posted of your experiences!! This is a bis subject for POS / QB community.

We'll be working on it this week.  I have a Quickbooks Pro advisor that will be helping me with this.  I will be happy to share with you when we complete the transfer.

Doesn't the import of the POS affect the inventory in Desktop in the inventory account?   Side note:I have QB Enterprise (Gold Edition) and did not realize I would have to up date my software in order to use the scanner/barcode for the advanced inventory option.  This process of converting the POS to Desktop (and keeping the original data in desktop) has become a challenge.  Didn't Intuit anticipate that some customers would want to do that rather than going to Shopify or another POS system.  Either way it is all new.  At least with Desktop there would be a minimal learning curve.  If you can help on the transition with the inventory I would greatly appreciate it.

What would you suggest I do about my inventory if it was all imported into QBDT as "non-inventory" items. They need to be inventory. But I understand that simply changing it will affect financials. I have over 800 items that went from QB POS into QBDT as non-inventory over the past 8 years. Now that QBPOS is becoming obsolete, I'm looking to move to QBO, however my inventory isn't working in QBO (because it is all classified as non). Help please!!!

Thank you for joining this conversation, CBPP. I'm here to offer help according to your situation.

When importing inventory items into QBDT, they should also be categorized as inventory types. Given that QB POS is becoming outdated, I like to ask if you've created a backup before transferring data to QBDT.

Moving forward, converting your data, particularly the non-inventory items, from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO) (as inventory items) is important to maintain precise data tracking for your business.

Before anything else, make sure to create a backup copy. Then, turn on the Inventory feature in your QuickBooks Online Plus or Advanced plan.

Then, I suggest checking this article for the complete details on how to transfer your data successfully: Import your QBDT file to QBO. Please note that this process will also bring non-inventory items into the online product.

After completion, you have two options to handle this scenario.

Option 1: Manually edit the Non-inventory to Inventory either prior to importing your data or after the data import process. If you want to do it in QBO, you can follow these steps.

  1. Go to the Sales menu.
  2. In the Product and services tab, find the item.
  3. Click Edit.
  4. Pick the Change type link above.
  5. Select Inventory.
  6. Hit Save and close to reflect the changes.

Option 2: Make the items inactive. Then, export the items from QBDT and import them to your QBO account. This let you use the inventory items in a fresh manner.

Furthermore, I suggest seeking advice from your accountant to assist you in reviewing your data and its presentation in your financial report. This is to ensure everything is accurate.

Just in case you need further help throughout the conversion process, you can give  out to our Support Team. Within your QBO account, navigate to the Help icon and choose the Contact us option.

Reach out to me anytime if you have other concerns with QuickBooks Online. My goal is to ensure that you always achieve your desired outcomes in your bookkeeping. Take care and stay safe!

I think you misunderstood the question.  In this scenario, the companies are not converting to QBO.  The are converting QB POS to QBD period.  The converting process of the inventory is not that simple.  First the POS export excel template does not work for importing the inventory QBD.  As stated above, if you do not transfer as inventory and you do non inventory it will be a disaster.  Why is there not a step-by-step instruction on how to convert QuickBooks POS to QuickBooks Desktop Enterprise 23?  It is not as simple as you make it out to be.  Shopify POS is for retail, if you have a business such as a lumber yard that will not work.  This has come at a time when hiring people is challenging in addition to taking away day to day tasks.  I am so disappointed in this.
