Thank you for posting here in the Community, @Judy32.

Deactivating inventory site or bin location doesn’t unlink them to the transactions. You should be able to see all of your transactions when pulling up a report.

One possible reason the older transactions aren't showing up when pulling up the report is the reporting period. You'll want to modify the Report period field based on the date of the transactions you’re looking for.

Also, you can customize your inventory report to show all of your transactions in the advance option in your QuickBooks Desktop.

Here’s how.

  1. Go to the Reports tab.
  2. Select Inventory.
  3. Select Inventory Valuation Summary.
  4. On the upper left portion, click Customize Report.
  5. On the right bottom corner, click Advanced and select All on the popup window. Please be advised that you’ll be able to have this Advanced option if you’re using QuickBooks Enterprise.

If you wanted to track your inventory at different locations and check if how much inventory you store at each site, you can check out this article. Multiple Inventory Sites.

Feel free to fill me in if you need further assistance. I am here to help. Take care.

Inventory Site

Hi,

One of our users mistakenly add sites to our Inventory Sites. I traced all the sites to be deleted so they will not have any transactions. Still, I am unable to delete the inventory site, it says "You cannot delete an item that has subitems. Delete or move the subitems first."

First, how can I view the subitems? And which subitems are on which inventory sites?

Pls help.

Inventory Site

Let me share with you some additional information about sub-items and inventory sites in QuickBooks Desktop (QBDT), miasam17.

If you're using the Desktop version (QuickBooks Premier, Enterprise, or Accountant), you can use the Inventory Assembly feature to use or set up sub-items. Usually, when you start building an assembly or combining your items, you don't need to worry about manually tracking your product's parts or materials since the system updates the stock of components you use automatically. Thus, you won't need to create a separate item for the assembly and for what you sell to your customers.

Also, creating a new entry will not update past transactions that have been closed. A newly built assembly will only remove the inventory items in stocks moving forward.

Therefore, here's an article you can read to learn more about assembly you build: Combine your Inventory Items to Build Finished Goods.

Just in case you want to delete or modify your items in the future, you can also review the resources from this link as your guide: Add, edit, and delete items

If you have any questions or clarifications, let me know in the comment below. I'd be more than happy to help.

Inventory Site

The answer still does not answer the question. I am not interested in building assemblies but in deleting an inventory site. I am unable to delete it since it says there are subitems.

I ran the report Inventory Stock Status By Site. The site that I want to delete lists an item and subitem in that report, with 0 values in all columns. I would need to delete or move that item in that site without affecting the whole system. We use global inventory and started our Quickbooks set up with Multiple Sites, so I am not sure why this certain item is assigned only to a particular site.

How can I delete or move this item which is an Item Part (and not assembly) so I can delete the inventory site?4

Also, I deleted an inventory site, there is an red x beside it on the Inventory Site List, but it is still there. What does that mean?

I have more steps we can try @miasam17, so you can delete the inventory site

.

You'll want to re-sort your item lists. This way, your master names list and item list will go back to its default order. This process will also fix odd behavior in the program.

Here's how to do it:

  1. From the Lists menu, choose Items List.
  2. Select the Item drop-down at the bottom.
  3. Click Re-sort List and then OK.

Refer to this article for details: Re-sort lists in QuickBooks Desktop.

After that, restart your computer and then try deleting the inventory site again.

I'm also attaching this link in case you need help troubleshooting the software. It contains different tools that'll help you fix problems and errors in the software: Fix common problems and errors with the QuickBooks Desktop Tool Hub.

Please let me know how it goes as I wanted to ensure this is resolve for you. Take care and have a great day ahead.
