Inventory

We enter manual sales receipts after pulling parts/inventory for our jobs, but these lists are very long and time consuming. Is there a way we can create a bill of materials and automatically create a sales receipt from that to allocate the inventory to a job?

Similar function like creating an invoice from an estimate.

Hi there, @VCabral. Allow me to provide you some options that'll help you save data time entry.

QuickBooks Desktop (QBDT) allows you to save transactions and access them from your Memorized Transactions list. This saves time as you won't have to enter all the items you need for your sales receipt. You can also have QuickBooks automate the entry or send you a reminder.

Here's how:

  1. Open or create a transaction you'd like to memorize.
  2. From the menu, click Memorize.
  3. Choose Add and enter a name.
  4. Hit OK
  5. Select how you want QuickBooks to handle it.
    1. Add to my Reminders List - The transaction will be added to the Memorized Transactions section of your reminders list. When you choose this option, fill in the How Often field.
    2. Do Not Remind Me - The transaction won’t be added to your reminders list or added automatically. You can use this as a template for transactions that repeat from time to time.
    3. Automate Transaction Entry - The transaction will be entered when it's due. When you choose this option, remember to fill in the How Often and Next Date fields.
  6. Enter any other info, then OK.
  7. Select Save & Close.

To use a memorized transaction:

  1. Go to the Lists menu, then Memorized Transactions List.
  2. Select the memorized transaction.
  3. Make the changes and then hit Save & Close.

If you're selling stuff together, you may create a group item. If you're building a product using components in your inventory, set up an assembly item instead.

Please touch base with me here on how these steps help you out or should you need any further assistance. I'm always up to talk about QuickBooks. Thanks for dropping in. Have a productive week ahead!
