Inventory

We are using Quickbooks Online. We are having some issues tracking inventory on some items. When I look at the 'Inventory Quantity Adjustment' screen, the total is correct, however, when running reports or looking at the main screen, the total is wrong. We have checked and several times input the correct amount in, but it still only reflects correctly on the 'Inventory Quantity Adjustment screen'. Has anyone else had this issue? We have for months, and it's not on all items, just random ones.

Hi there, @Ruth. Let's get you through this to ensure adjustments within your inventory inside QuickBooks Online (QBO) are accurate.

Since the total shows correctly in the Inventory Quantity Adjustment screen, you'll want to double-check that your report is filtered to show a specific reporting period. It allows you to view recent changes within your data inside the program.

I'll write down the steps below to get you going. To begin, here's how:

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Reports tab.
  3. Locate the report that you use as your reference.
  4. Below the report title, select the correct reporting period, and input the date.
  5. Once done, click the Run report button.

For further guidelines, please refer to this article: Customize reports in QuickBooks Online.

Apart from that, I've got you this handy article to help you keep your current report settings: Memorize reports in QuickBooks Online.

It's been a pleasure to have you today, @Ruth. Don't hesitate to leave a comment below if you need further assistance with inventory adjustments in QuickBooks. I'll help you out again. Take care!

I did check that the dates are set up properly on the reports. The reports reflect the quantity on the main 'Products & Services' screen. The only way to find accurate quantity is to go to the 'Inventory Quantity Adjustment' screen. That is where our question comes in. Why is it not reflecting the correct quantity on either the 'Products & Services' screen or the reports? It's also not an issue with all our inventory items, only some of them.

Thanks for the prompt response, @ruthieb1962.

Let's perform some troubleshooting steps to rule out the possibility of having a browser issue and to get your inventory quantity matched on reports, the Products and Services page, and the Inventory Quantity Adjustment screen.

Your browser saves files to load websites faster on your next visit. But over time, it'll get outdated, which can cause errors and performance issues using QBO.

To fix this, you can perform some troubleshooting steps. Start by pulling up your QuickBooks Online (QBO) account using a private browser (incognito). Here's how:

  • Press Ctrl Shift (Google Chrome)
  • Ctrl Shift (Firefox)
  • Control Option (Safari)

Once signed in, go to the Reports menu to pull up your report and compare your data to the one showing in the Products and Services page and Inventory Quantity Adjustment screen.

If your data matches, return to your default browser and clear its cache. This will refresh the system and remove older data that causes viewing and performance issues. However, if this matter continues, I'd recommend using other supported browsers.

In case the issue continues, even after performing the recommended troubleshooting steps above, I'd recommend contacting our Customer Care team. They can create a case to trigger an investigation and get your issue fixed in no time.

Once everything is all set, you can use reports to get insights on the things you buy and sell and the status of your inventory. You may want to check out this article to show you which ones to run depending on the data you need in QBO: Use reports to see your sales and inventory status.

Keep me posted in the comments if you have other reporting concerns or questions about managing inventories in QBO. I'll gladly help. Take care, and I wish you continued success, @ruthieb1962.
