Invoice not sent from specified Outlook email account

When I send a form (invoice or PO) using Outlook (MS365), email is sent from my personal gmail account that is NOT set in QB Pro Desktop 2020.  Outlook "send from address" is correct but it does not sent from correct business email address shown and sent from not-specified personal gmail.  

 

There was a few days when personal gmail account in Outlook was set as default when I switched my computer.  Default later changed in Outlook account to correct business account.  QB used gmail to send a few times but I have not been able to switch back to business address.

 

This is not the case when I send anything from Outlook and happens only when I send a from from QB via Outlook.   Any suggestion ?

Hello, kss52-FM.

 

Let's check the web mail's settings in the preferences so you're able to send invoices seamlessly.

 

Here's how:

 

  1. At the top menu bar, click Edit.
  2. Choose Preferences.
  3. Click Send Forms on the left panel.
  4. Under My Preferences tab, select the email account you're using.
  5. Click Edit.
  6. Mark the SSL box, or just select Default.
  7. In the Server Name field, make sure the server name matches your email provider's settings.

You can also run the Transaction History of the invoice to review details including when you send it.

 

To do that:

 

  1. Click the Customers menu at the top to select the Customer Center.
  2. Tap the Customers & Jobs tab to see the list of customers.
  3. From there, choose the appropriate customer to display the Transactions tab.
  4. Double-click on the invoice to view the complete details.
  5. Hit the Reports menu on the Invoice page.
  6. Then, press the Transaction History menu to check the information.
  7. The date when the invoice was emailed will show in the Sent Date section.undefined

I have always used Outlook to send forms rather than Webmail for the past several years and this is my preference.  I even performed clean reinstall and still have the same problem of not being able to send forms from specified address, which shows on Outlook but sent from incorrect gmail address.

Since you still experience the same thing after performing the troubleshooting steps above, I recommend contacting our technical support team to further investigate the root cause of the issue. They use specific tools to pull up your account and do a screen sharing to check your email settings. To do so, refer to the steps below:

 

  1. Select the Help menu.
  2. Click QuickBooks Desktop Help.
  3. Hit Contact us
  4. Enter a brief description of your concern, in the Tell us more about your question box.
  5. Tap Search.
  6. Choose either Call us or Message us.

Invoice not sent from specified Outlook email account

I did not contact tech support but problem SOLVED.

I found that data stored in Outlook can be changed.  File>Account Settings>Data Files and choose default location.

I change the data file location from personal gmail to business email file location.  

All works now the way I wanted.
