I appreciate the screenshot you've shared and I'll be more than happy to help you fix the unwanted line breaks in your invoice template, @lafuturex. Together, we'll make sure your invoices display correctly.

The broken lines you see when exporting an invoice to PDF are due to the customization in your invoice template. To resolve this, we just need to find the invoice template you're currently using:

  1. Open your QuickBooks Desktop (QBDT) company.
  2. Go to the Lists tab and select Templates.

  3. Select the specific template in question and double-click it.
  4. Click on the Layout Designer button below.

  5. Double-click on the border part wherein the broken lines are showing.
  6. Select the Border field.
  7. In the Pattern section, choose Normal.

  8. You can adjust the Thickness if necessary.
  9. Once done, click OK.

For additional guidance about customizing form templates, you can refer to this attached article: Use and customize form templates.

I'll share this helpful resource just in case you want to personalize your reports in QBDT. This allows you to focus on the financial details that are most important to you: Customize reports in QBDT.

Keep your posts coming if you've got additional questions about broken lines in your invoice template or any QuickBooks queries. I'll be right here to assist you further. Have a good one.

This did not work

The template is shared by all 5 users of our QB license. This issue only occurs on one of the users invoices

Lines broken on PDF invoice export

Invoice display stems from various reasons depending on the system or platform used. I'm here to help you resolve these issues, lafuturex.

You can use the Verify and Rebuild Data tool. This is a vital utility designed to identify and fix data integrity issues in the company file. To do so, follow the steps outlined:

Verify your company data:

  1. Click on the Window menu, then select Close All to ensure no other files are open.
  2. Navigate to the File menu, then select Utilities.
  3. Select Verify Data. If you see:
    1. QuickBooks detected no problems with your data, your data is clean, and you don’t need to do anything else.
    2. If an error message, search for it on our QuickBooks Desktop support site for guidance on the resolution
    3. Your data has lost integrity. Data damage was found in the file. Rebuild your data to fix it.

Rebuild your company file data:

  1. Go to File, Utilities, and then select Rebuild Data.
  2. QuickBooks will ask you to make a backup before it rebuilds your company file. Select OK. A backup is required before you can rebuild.
  3. Select where you want to save your backup, then OK. Don’t replace another backup file. Enter a new name in the File name and select Save.
  4. Select OK when you get the message Rebuild has completed.
  5. Go to File, select Utilities then select Verify Data again to check for additional damage.
    1. If the verification finds more damage, you’ll need to fix it manually. Search for the error(s) in the qbwin.log on the QuickBooks Desktop support site for how to fix it.
    2. If your error can't be found, you can restore a recent backup. Go to File then select Open or Restore Company.
Don’t replace your existing company file. You’ll need to enter the info into your company file again since the backup was created.

Another option to resolve the issue is to delete and recreate the invoice to ensure to fix if the template is  defective and corrupted. Just right-click the template and select Delete Template. I've added this screenshot for your reference:

Once you've created an invoice, you can learn how to receive and process customer payments for those invoices. I've added this article for more information: Take and Process Payments in QuickBooks Desktop.

Thanks for the reply, I can assure you the issue is not with either the company file nor the template as the same company file and templates are shared by all of the users on our QB license.

4 of the users are able to print PDF invoices correctly without the line breaks. Only one user is having this issue when exporting/printing PDFs

Thank you for responding! You mentioned something very interesting. It seems as if the user profile might be broken. This can happen over time within the program. To test this though, could you open a sample company file on the user's computer and see if the same thing happens when doing the Invoice export?

  1. Open the Windows Start menu.
  2. Press CTRL on your keyboard and select QuickBooks. Don’t let go of CTRL until QuickBooks opens.
  3. Select Open a Sample file.

I will be looking forward to your response! I will be here to assist you further. See you in a few.

The PDF component in your QuickBooks Desktop company file is essential for formatting your exported PDF invoices. To address the broken lines issues you're experiencing, I recommend utilizing the QuickBooks Tool Hub and its Print and PDF Repair Tool. This tool fixes PDF creation and printing issues, ensuring exported invoices are formatted correctly.

For detailed steps, here's how:

  1. Download and install the most recent version of the QuickBooks Tool Hub.
  2. After installation, double-click the QuickBooks Tool Hub icon on your desktop to open it.
  3. In the Tool Hub window, locate and click on the Program Problems tab.
  4. Within the Program Problems tab, find and click on the QuickBooks Print and PDF Repair Tool option.
  5. Follow any prompts that appear on your screen.

For comprehensive information and detailed steps regarding this procedure, please refer to this guide article: Fix PDF and Print problems with QuickBooks Desktop.

Once the process is complete, you will receive a notification about any issues found and repaired. Export an invoice as a PDF again to verify if it fixes the issue. If the problem remains after running the tool, consider restarting your computer and doing it again.

Moreover, I suggest updating your QuickBooks Desktop software to its latest release to prevent bugs or compatibility issues in the program.

Additionally, I’d like to provide you with some helpful resources that will assist you in accurately tracking payments received and in customizing your invoice templates to ensure they reflect your desired style and include all necessary information:
