Merging Item Assemblies

I had set my items up in a far too granular fashion.  ie: red cups, blue cups, yellow cups is now "cups". So I've gone through and merged them to simplify.  However, those items are used in assemblies and those assemblies by name are still too granular although they have the same assembly items at this point since I did the merge.  Subsequently, I'd like to combine the assemblies to simplify them as well. ie: red cups w/coaster, blue cups w/coaster, yellow cups w/coaster should now be cups/coaster.  I know I can't merge them the same way I did the items.  Is there a way that I can bring them together?

Merging Item Assemblies

Thanks for getting back to us, @rprimmer.

Allow me to chime in for a moment and share some information about merging item assemblies in QuickBooks Desktop (QBDT).

Yes, you're right! You need to manually add the items from the assembly you need to inactive to the one you want to use. But before you do that, you need to zero out the quantity of the items on the assembly want to inactive first so that they'll not be deducted to the quantity of the active items.

Here's how:

1. Go to Lists menu at the top, then pick Item List.
2. Double-click the assembly that you want to make inactive, then zero out the quantity of the items on the ITEMS section.
3. Select OK.
4. Then, right-click on the assembly name, then choose Make Item Inactive.

Once done, add the inventory items to the assembly you want to use. Here's how:

1. Double-click that specific assembly.
2. Add the items on ITEM section, then OK.

For future reference, you can also check out this article for further guidance: Create, build, and work with inventory assembly items.

That should do it. Please let me know how it goes or if you have any follow-up questions by leaving a comment. I'm always here to help. Cheering you to continued success!

no, just mark them inactive

How does that affect activity on the "now" inactive item in reporting?

how does inactive affect historical reporting etc.

I'm here with some clarifications, bdp.

It will remove them from the items list, but they will still show on historical reports.

Inactive item does not mean deleted by the system. It's the same as "Do not show me", but all information about this item is still in the database.

Feel free to post any questions you have below.

So if I mark it inactive, would I take steps to add that inventory to the remaining active item assembly it would now belong to? What happens to the inventory numbers of the items in that item assembly when I make it inactive?

I do not see an Items section on the inventory assembly screen where I can zero out the quantity.  I am in the Edit Item screen.  Is that where I should find it?

Hi there, rprimmer.

The item section is in the bottom part of the  Edit item page. I've provided the screenshot below:
