Moving sales orders from Desktop to Online

Hi There! 

 

We just moved from desktop to online and I need to migrate my past sales orders. Has anyone figured out how to do this?

Currently, the sales order feature is unavailable in QuickBooks Online (QBO) and won't be transferred from QuickBooks Desktop (QBDT) during the migration process.

 

For now, you can use third-party apps to generate sales orders in QBO. Here's how:

 

  1. From the left navigation panel, select Apps.
  2. Open the Find apps tab.
  3. Enter keywords like "Sales order" or select the Browse category dropdown menu to check out different apps.

OK....

QuickBooks Online doesn't have sales orders? Wow! QuickBooks Desktop has had them for 20 years.

 

So, my question is: How is it that Intuit thinks QuickBooks Online is a reasonable replacement for Desktop when it's missing so many fundamental features for many QuickBooks Desktop customers?

There is no sales order feature in QBO at this time. Consider switching back to QB Desktop. Otherwise, you may have the following options:

1. Use a 3rd party app with sales order feature (e.g inventory management app) to integrate with QBO

2. Use the trial version of QB Desktop to access your historical data for good.

I can see the importance of transferring your sales order from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). Currently, the sales order isn't available in QBO.

 

For now, you can use an estimate in QBO instead of a sales order. I can show you the steps on how to create one.

 

Here's how:

 

  1. Click the + New icon. Then, select Estimate.
  2. Choose a customer from the ▼ dropdown
  3. On the Product or service field, add the products or services to the estimate.
  4. To email the estimate to your customer, select Review and send.

 

For you to have the ability to transfer your sales order to QBO, I suggest downloading a sales order management app that supports QBO.

 

To improve your experience with QBO, you can send feedback request to our Product developers for them to consider adding this feature in the future.

 

Here's how:

 

  1. Sign in to your QBO account.
  2. Click the Gear icon at the top, then Feedback.
  3. Enter your comments or product suggestions.
  4. Press Next.
     

Once done, our designated team will review it. You can track your future requests through the QuickBooks Online Feature Requests website.

Does the inventory from sales orders in Desktop migrate to QB Online? I know QBO does not have sales orders I'm wondering what happens to the inventory used in sales order that were open at the time of migration from desktop to online.

According to the Community article that outlines how data is transferred from one QuickBooks platform to another, these are the specific inventory items that do not migrate to the Online version:

 

• Manufacturer's Part Number (MPN).
• Currently, none of the Desktop inventory item fields move to the SKU field in Online.

What happens to the open sales orders that cannot be brought over to QBO? Do they default back to estimates, or have they been deleted?

Please know that currently, QuickBooks Online (QBO) does not offer the sales order feature that is available in QuickBooks Desktop (QBDT). Therefore, any open sales orders in QBDT cannot be automatically converted into estimates or deleted in QBO due to the unavailability of the feature.

 

With that being said, I recommend recreating each sales order to estimates in QBO. Estimates are non-posting transactions that can be converted into invoices at a later time. When your customer receives the invoice, it effectively serves as a sales order. Here are the steps to create an estimate:

 

  1. Click +New, then select Estimate.
  2. Select a customer and enter the necessary details that are the same as your sales order.
  3. Hit Save and close when done.

 

Additionally, you'll want to visit our QuickBooks App Center to find third-party applications that can handle sales orders. You can also follow the steps below in searching the app:

 

  1. Navigate to Apps, then Find apps.
  2. Enter sales order in the search bar.

I know all of this, I want to know what happens to the INVENTORY that the sales order in desktop deducted from inventory. Is that inventory included in the inventory count that migrates over to QBO?

If the sales order is already been converted into an invoice, the inventory count will be deducted. However, if the conversion hasn't occurred yet, it won't affect the quantity of your items. Thus, when you migrate to QuickBooks Online, the inventory will be based on the calculated amount left on your QuickBooks Desktop. Here's an image for a better visualization:

In addition to that, you can create and perform an inventory count to keep your records and products on hand updated.

Full transparency: I am in my first week of QBO. I tried to enter the bill against the PO, and it asked me about inventory being brought in before the... I can't remember the whole memo. I haven't been able to enter the bill for it. The PO shows closed, and the system will not let me open it back up. I have called tech support, and as nice as he was, he couldn't figure out what I did either.

Beforehand, may I know what you meant about the memo being asked to you for the inventory brought in before? Is this an error message you received when entering the bill against the purchase order? You can also share screenshots for us to have a clearer understanding of your end.

 

If you're migrating linked purchase orders and bills from QuickBooks Desktop to QBO, the switch removes the link between these expenses. Once converted, the PO will need to be copied to the Bill in QBO to reflect the items received.

 

With that, I recommend reviewing your PO entries and verify the bill linked to it. To do this:

 

  1. In your QBO account, go to Expenses from the left menu panel and click Vendors.
  2. Find and open the specific vendor.
  3. From the Transaction List tab, review all the Purchase Order transactions from there.

 

However, if your POs are marked as closed or aren't linked to any other bills and can't open them back, you can perform some troubleshooting steps to help fix the possibility of a browser issue. I'd suggest opening your QBO account in a private browser. You can refer to these keyboard shortcuts to open one:

 

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Shift + N

 

If you're able to manage your POs from there, you may get back to your default browser or use a different supported browser.

 

Furthermore, you can run specific reports to help you review your business' finances.

I will also see if I can recreate the error/warning message. My boss is also getting this message when converting pre-merge estimates to invoices. 


Should we have done a pre merge inventory count and applied after the merge?
