Need Permission from System Admin - can't access bank registers - can't reconile bank accounts....

I have many bank accounts in my QuickBooks Enterprise system. I have used this system since 2011 and love it.  Several years ago I began to have problems if I added a new bank account.  I could add the new bank account but the register would not open and the reconcile would not open.  I get a Warning that says:
"Before you can access this account, QB needs to verify that you have the correct permissions.  You need to log out and then log in with the user name and password assigned by your System Administrator."  Keep in mind the old bank accounts still function that would created before this problem began.   Also, if I create a new company and add a bank account it works fine.  So, this problem is only occurring in this one company file which is many years old. I am the only user and it is not password protected. I am a small boutique operation so I have found ways around to manage these small added bank accounts.  I need to get this error fixed. 

When the problem first occurred about 5 years or more ago I attempted to get help from Intuit to no avail.

I desire to find the solution to this problem. 

Here is some more background information:

*  If I setup a new Company and add bank accounts the problem does not exist;
*  When I do a Backup I get a warning that a data problem prevents QB from continuing.  The Solution is to Rebuild the data now but any errors in the data file will not be fixed.  I do the Rebuild and save a backup.;
*  I accessed the QBWin.log.  I can see the long list of the new bank accounts added the past years that do not permit access to the register or reconcile.  Each one is listed as follows:
"prefuser.c (24512):  CHECKPOINT: 1780: Sat Oct 22 21:50:27 Permissions:  "Bank Registers: Citizens Checking Account" does not have an associated entitlement.
Then after all the impacted bank accounts are noted the following line exists:
"PermissionsManager.cpp (4049):  CHECKPOINT: 1780: Sat Oct 22 21:50:27 Permissions:  "Bank Registers" does not have an associated entitlement."
*  I am the only user of this qb system.
*  I know the version is old (v12.0) but this system is fine for my operation.
*  my other challenge to the above is I am on Windows Operating System 8.1 which will no longer be serviced come January 2023.  So, I am trying to figure out how to continue using my beloved QB Enterprise 12.0 desktop version on a new computer that would have Windows Operating System 11.  Advise on this issue also appreciated.

Having a reliable program is very important (even if it's old), especially if you're doing business. So, I'd like to extend a helping hand in fixing the bank account register and reconciliation pages. 

 

I appreciate the details you provided, and it's a good thing that you've already narrowed down the issue by using the log details. 

 

There might be a damaged component within the company file that's preventing you from accessing the reconciliation or the register page. In this case, we can run the Tool Hub and use the Company File utility to fix this. 

 

  1. Download the latest Tool Hub version here: Fix common problems and errors with the QuickBooks Desktop Tool Hub
  2. Run the installer and proceed with the installation process.
  3. After installing, run the Tool Hub.
  4. On the list of utilities, select Company File Issues
  5. Follow the prompts to start the repair process. 

 

I'll also note that the Tool Hub is intended for supported versions. We can run it on unsupported QuickBooks versions, but it may not detect the issues properly (due to lack of supportability and updates). 

 

Another solution we can do is to clean install QuickBooks Desktop. A complete guide can be found here: Re-install QuickBooks Desktop

 

I'd also like to add some details about the requirements. QuickBooks Desktop 2012 or V12 might not work properly if it's installed on Windows 11.

 

The system will let you install it, but it might cause compatibility issues. If you're interested, consider upgrading to the recent version that runs on Windows 11.

Thank you for your quick reply.  It is greatly appreciated.
I will try your suggestions for my bank permissions issues and let you know the results.
My current QuickBooks Enterprise Solutions 12.0 is a fabulous system. I love it. It is perfect for my small boutique operation.  I do not interface it with the internet.  Yes, I can upgrade to a current version and import my old data but I do not wish to pay another large sum of money for the upgrade version.  I wish to continue to find a way to keep using it without incurring more expense for a new system.  One thought I had is to keep my current computer with window 8.1 and use my v12.0 QB Enterprise on this old computer -- do not use it to interface with the internet.  Buy a new computer for everything else. Or perhaps Enterprise 12.0 will work on windows 10 and I could find a new computer with windows 10? Anyway, back to my damaged file --- I will get busy on your suggestions and keep you posted.  Thanks so much.  Lana

Hello again -- this is an addendum to my recent reply ....... Another thought I have is ---- I could setup a brand new Company in my Enterprise 12.0 beginning with 1/1/23.  As noted before, the bank accounts are working fine in a new Company setup.  I could keep my old Company file for prior to 1/1/23 activity.  Maybe I can export some files from the old to the new company such as Customers, Vendors, Items?  Just a thought.

Well, I followed your instructions to fixed damaged components within my company file.  Sadly, they did not find any errors.  The problem continues.  I have read your suggestion about how to re-install and it makes me a bit nervous.  I worry it may create more problems.  I wish there was a way for me to figure out how to manually fix the problem.  What to do?

Thank you for getting back to us, Lana.  I appreciate the steps you've tried to resolve the issue. 

 

The steps provided by my colleague will resolve the issue. Since you're still having an issue with the bank account register and reconciliation pages, I'd recommend consulting qualified IT personnel there may be some errors and issues while attempting to do this. 

 

After opening QuickBooks successfully, do you need to check on your financials? We can run some reports to do this. If you need a guide or two, I'll link this article just in case: Understand reports

I obviously have a corrupted file or corrupted something in my company file.  I know about reports and thank you for sharing a link about understanding reports.  I have been using QuickBooks for over 20 years.
As noted above my enterprise is old- v12.0 but I love it.
I can add a new bank account.  However, one can't open the bank account register nor can one use the reconcile feature.  I get a warning that I need to verify that I have the correct permissions and that I have to log out and then log back in with the correct name and password assigned by the system administrator.  Well, I am the only user.  I do not have a password even setup for me.  When this first happened years ago Intuit would not help me. It was very frustrating after paying over $2500 for the program.  There must be a simple way to identify the problem where Intuit can help me.  Why should I have to pay for an IT person.  I agree the repair tools mentioned should work -- but -- perhaps not since my system is so old? As mentioned earlier -- I am able to setup a new company file and bank accounts can be setup with no issues.  What are my options?
1) Can I setup a new company file and import data from my current company file for customers, items etc.?
2)  You mentioned a reinstall -- it does make me a bit nervous --- is this something I should attempt?
3)  Can I run my enterprise 12.0 on a Windows 10 machine?  If so, can I install it on a new computer with windows 10 or am I not allowed to install it on more than one computer?
4)  Any other ideas?

You should be worried. When you reinstall an outdated QBD Enterprise license, chances are that the Intuit servers will not activate it. Before you buy a new machine, consider installing your license on an available machine to be sure. You can try installing it in Win 8 compatibility mode on Win 10. I prefer to use Win 10 Home instead of Win 10 Pro/Win 11 at the moment.

 

If you encounter an error and can't resolve it, you may consider purchasing a one-time license for QBD 2021 and a downgrade service to open your files on the Pro/Premier edition.

Welcome back, @worldtrav9.

 

I understand you loved using your QuickBooks Enterprise 2012 version, but this version is already outdated. Thus some functionality in the program isn't working.

 

However, you can still set up a new company file and import your data from your current file. To do so, you'll need to export the data from your current company file through an IIF file and import it to the new one.

 

Also, as mentioned by Fiat Lux - ASIA above, you may encounter issues reinstalling an outdated QuickBooks version due to its compatibility.

 

On the other hand, the QuickBooks Enterprise 2012 version is compatible with Windows 8 operating systems. Thus, installing it on Windows 10 might not be working properly. In this case, I'd suggest upgrading to the latest version that runs on Windows 10.

Thank you again for everyone's help. It is appreciated.

I setup a new company and did an IIF File Export/Import.  All accounts, items, lists imported properly in the new company I setup.  I am no longer getting the warning about permission with the newer bank accounts that were setup in the old company, so that is great news.  The only problem is --- transaction did not get exported/imported.  For example, the bank registers are empty, Customer Sales history is empty.  So, I will have to go back and take a look at what I missed with the export/import process. Any advice is appreciated.


FYI -- I looked more into why the the Quick Fix My File process did not work in the QB Tool Hub to Fix My Company File.  I noticed the details showed files could not be found (i.e. qbw.exe, qbw32.exe, qbhelp.exe, etc).  The details referenced a the top the directory of:  C:\WINDOWS\system32\cmd.exe
The files that could not be found (which halted the Quick Fix My File process) are in the directory of:  c:\Program Files (x86) Intuit\QuickBooks Enterprise

I am wondering this has anything to do with why the Quick Fix My File process could not work?

It's good to know that you have imported some of your data to the new company you've set up in QuickBooks Desktop (QBDT). I'm here to explain how importing and exporting data works in QBDT.

 

There are several ways to transfer your data in QBDT. Since you're using the IIF feature, you'll want to review the list and transactions you can import and export using that option from this article: Export, import, and edit IIF files.

 

Nevertheless, you'll want to reimport the missing transactions using the same method. But if the issue persists, you'll want to try other ways to transfer your data to the new company. Here's the article for your reference: Import and export data in QuickBooks Desktop.

 

Concerning your bank registers, you'll want to export them using Web Connect (.QBO) files. Follow the steps from this article to add those transactions to your accounts in QBDT: Set up or edit bank accounts for Bank Feeds in QuickBooks Desktop.

 

With regards to the QB Tool Hub not working, you might want to try relocating the file and see if that works.

 

Additionally, I recommend checking out this article: QuickBooks Help Articles. This will provide resources and videos about managing your QBDT account, income, expenses, inventory, and running reports.

Hello again. 

Thank you for your added advice.  FYI -- The transactions I refer to that need to be imported to the new company are all 20 years worth of transactions for banking, sales, refunds, etc.  You reference is regarding interfacing a bank account transactions. I do not, as noted in my early posts, interface my QuickBooks Enterprise with the internet.  I also do not interface my bank accounts with my Enterprise.  This is on purpose.
Regarding importing transactions (bank, sales, etc) -- I found an excellent youtube video from a CPA on how to access a hidden task within my Enterprise that provides an easy method to export/import all transactions.  This has solved my problem.

I created a new company from an old company file and had this same issue. I just solved my problem by removing the bank feeds in the new company's bank account. I now have access to the account and the ability to reconcile.
