Newly Added Customers Will Not Sort Alphabetically When Generating Reports, Statements or Invoicing, etc.
This has been bugging us for awhile now, and it's only getting worse as we add new customers. We have about 30 new customers now that appear at the very top of a list in a A/R Summary Report, or when generating Statements or Invoices; all of our existing customers (pre-2020) sort properly after the unsorted new customers; each new customer appears at the very top of the list(s).
It's become very difficult for our bookkeeper to execute her workflow, as she cannot (from memory) predict where in a list she can find a target; eg., is Wagner in the random names at the top, or is it with the rest of the 'Ws' where it belongs?
Is there a fix for this?

Hi All, for me, on Mac, it was as simple as going to the Customers Menu (I think) and choosing ‘Resort List’ (or something similar. Go to the Help Menu and type ‘sort’, and any Menu items that contain the term will be exposed.

That did the trick; Many Thanks! -- Frederico
I am using QB2020 Desktop and I do not have the Re-sort option under Edit when I am in the Customer Center. Any reason I don't?
Thank you in advance.....
Thanks for chiming in on this thread, karengn.
Re-sorting helps resolve odd behaviors in your master names list, Item list, or Chart of Accounts. To clarify, are you using QuickBooks Desktop for Windows? If so, the option is available when you right-click on the customer's name in the Customer Center window.
Here's a sample screenshot for a visual reference:
If you have QuickBooks Desktop for Mac and can't find the option in the Customer Center, we can do the Verify and Rebuild Data steps. This might be caused by a data damage on your company file. Here's an article for the steps: Verify and rebuild data in QuickBooks Desktop for Mac.
To learn more about Re-sort lists, you can read this article: Re-sort lists in QuickBooks Desktop.
Please keep me updated with the result. I'm just a few clicks away to help you out again. Take care!
I am having this same issue, however only with my Job Profitability Summary report. There is no resort option available when customizing this report that I can see.
Please help. This will only get worse and worse as we add new jobs.
Thank you.
I'll show you how to re-sort the list in QuickBooks, c4ring.
I'm here to ensure you're able to re-sort the list of your customers. We can do this by going to the List menu. I'll show you the complete process.
For more information about the process, check out this article: Re-sort Lists in QuickBooks for Mac.
Additionally, you can also personalize the details in your reports. To learn more, please see this article. Customize Reports in QuickBooks Desktop for Mac.
I'm only a post away if you need more help in re-sorting your list in QuickBooks. It's always my pleasure to help you out again.
That is not my question.
My customer list is fine. I know how to re-sort it and I did that several weeks ago when I noticed the new jobs going to the top of the list there.
What is NOT fine is that my customers are still out of order in the Job Profitability Summary report, with the newest jobs on top alphabetically and older ones below that in alphabetical order.
My question is, since there is no re-sort option in that report, how do I get my report to stop displaying our jobs in the order it is currently?
Thanks for coming back, c4ring.
The option to sort the Job Profitability Summary report with the old jobs on top alphabetically is unavailable. The report will display the newest jobs on the top of the report. You may want to export the report to Excel and modify it to come up with the data you need.

I am on Quickbooks Online and having the same issue. I don't have a Customer Center. Our Customers are out of order and our employees are out of order when trying to enter payroll. How can I resort for Online QB?

I use qb enterprise 2021 - I found the re-sort list option in the View menu.
My issue is the reverse of Frederico. My Customer list used to have the newest customers at the top of the list. Also, my sub customers have job numbers and the highest number used to be on top and the oldest ones on the bottom of the hiearchial view. In the last two weeks or more, the list has totally flipped and I need to get it back to newest jobs on top of the list.
Thanks for joining the conversation, frr.
I want to make sure you're able to view your customer list in the order you prefer.
Clicking on the column header (Name) will reverse or reorder the list. The header may have previously been selected by accident, resulting in the list being ordered differently.
Additionally, if you could send over a screenshot that would be helpful for me to take a closer look.
I'll keep and eye out for your reply and we can continue working here.
I just sent screen shots using snip and clip so I could remove private detail. You should see them in a separate post. I found an old copy from July of my file where the sort was correct. Pressing the Name column just puts the 'Z' customers on top and the 'A' customers on the bottom. That is difficult. Before, If I added a new Customer, It would stay at the top of my list until I dragged it down in alphabetical order. It also kept my sub clients 'job numbers' newest on top or at least highest number on top. I prefer newest on top..
Thank you for responding to my question.
I need to make it clear that the title of this post too general.
The report that will not sort alphabetically is the Job Profitability Summary under Jobs, Time, Mileage. It takes all jobs since February of 2021 and puts them at the top in the order they have been entered and then anything prior to that is alphabetical.
It could have been doing it all of 2021 but the other jobs up to February already had a parent customer name in QB's so they were nested under that customer and thus are in alphabetical order.
I have been working with QB's for 16 years and cannot figure out what is going on.
Please help! My boss is very frustrated with why I cannot get this report to be completely alphabetical.
Thank you for responding to my question.
The report that will not sort alphabetically is the Job Profitability Summary under Jobs, Time, Mileage. It takes all jobs since January 2021 and puts them at the top in the order they have been entered. Following those jobs any prior to the beginning of 2021 are alphabetical.

It isn't the kind of experience that we want you to come across, c4ring.
We can run some troubleshooting steps to isolate the root cause of the issue.
Here's how:
If you see Your data has failed the integrity check you need to rebuild your file.
Keep me posted as to how these work on your end. Keep safe!
Rebuild data does not work. I rebuild on a regular basis because of another issue that the support team has never been able to help with. When I rebuild it "fixes" that issue for a few days. However, it does not change anything with this report. I just rebuilt again so I could answer you definitively with an "no that didn't work".
Thanks for the update, @c4ring. I'll make sure to fix minor data issues with your QuickBooks Desktop (QBDT) company file. This way, you're able to alphabetically sort the report you need.
When you're still having issues with your report after rebuilding your company file, you'll have to repair it using QuickBooks File Doctor. You'll first need to download the tool by following the step-by-step guide below:
Then, run Quick Fix my File. Here's how:
Once you're done and still unable to alphabetically sort the Job Profitability Summary report, you'll have to run QuickBooks File Doctor and follow all other recommended ones. For the detailed steps, follow the instructions starting Step 3 in this article: Fix company file and network issues with QuickBooks File Doctor.
In case the issue persists, continue with the troubleshooting steps starting Solution 3 in this article: Fix data damage on your QuickBooks Desktop company file.
Also, I'm adding this article to further guide you in managing your business's growth using QBDT: QuickBooks Help Articles. It includes topics about account management, banking, and expenses, to name a few. You can also explore video tutorials to help you learn your way around the program.
Please keep me posted on how it goes in the comments below. Let me know if you have other reporting concerns and issues with your QBDT company file. I'll gladly help. Take care, and I wish you continued success, @c4ring.
Running the Quick Fix from Tool Hub worked! Thank you so much. I will put this little gem (the Tool Hub file) into my notes for future issues. Thanks again.
I am not sure where I am selecting File on quickbooks to even begin to try this suggestion.
Hello, synergy11,
I'll show you where you can locate the File menu in QuickBooks. I'll also throw in another set of steps to help you with the issues in the program.
The File menu is located at the top-left corner of your screen. The location is the same for both QuickBooks Desktop (Windows) and QuickBooks Mac. Here's a couple of screenshots:
QuickBooks Mac:
QuickBooks Desktop:
Simply hover on Utilities, and select Verify Data. After the process, go back to the Utilities menu again and select Rebuild Data. Follow the prompts again to start the process.
Just to clarify further, are you also having the same issues stated by Frederico? There are also other steps you can do to resolve this.
Depending on what product you're using, you can use the Tool Hub to fix the issue in QuickBooks Desktop (Windows). If you're using the Mac version, you can simply reinstall the program with a clean install.
Here are the articles to help you out:
