Not all of my purchase orders are closing after copying to a bill and saving the bill

Randomly, my purchase orders do not closed and not showing it is linked to a bill. however, the bill that goes with it shows it is linked to the purchase order. This does not happen all the time. I have check to make sure everything matches and it does. I copy to bill from the purchase order, enter the bill number and save and close every time. I have reached out to Quickbooks chat on several occasions,  NO even understands what I am saying and the issues has continued for several months. My time is valuable. I have wasted hours with support chat with zero solutions. PLEASE HELP!!!!!

I can understand how challenging it can be when purchase orders that were previously linked to bills suddenly become unlinked and when the purchase order itself refuses to close.

 

In the meantime, let's perform some basic troubleshooting to identify if this is a browser-related concern. 

 

To start, access the purchase order in the QBO Test Account. If the purchase order operates well, I recommend logging in to a private browser. Here are the shortcut keys for these browsers:

 

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Microsoft Edge: press Ctrl + Shift + N
  • Safari: press Command + Shift + N

 

Then, access your purchase order. If this works, clear the cache of your regular browser to remove accumulated data. Please note that you can exclude the Password and other sign-in data in the Advanced section when clearing the cache. You might be used to logging into your account without typing your passwords.

 

On top of that, if the issue is still there, I recommend contacting our Support Team to further assist you in navigating the root cause of this issue.

I fail to see how that will fix a problem that already exists and since it is RANDOM, I also fail to see how it would prevent the issue in the future. Also, because that is the ONLY suggestion I have EVER received, clear my cashe and history before I sign in. It is also upsetting that there is software that would require you to use an "incognito" window in order to work properly. I have 25 years experience with accounting and 15 using quickbooks. I am VERY Tech Savvy. Only Quickbooks online has EVER giving me this issue. for $90/month every month there should be no issues let alone one that in at least 3 years has not been resolved. Thanks,

In QuickBooks Online (QBO), it is best to use an incognito or any other private browser to prevent the use of any existing cached files that might be outdated causing this unusual behavior. 

 

However, since you tried performing what my colleague says, I'd recommend that you contact our QBO Support so that they can further assist you. 

 

Here's how:

 

  1. In your QBO account, select Help (?)
  2. Choose the Search tab.
  3. At the bottom of your screen, click Contact Us.  
  4. Type your concern. Then click Continue
  5. You may choose CallbackAppointment, or Chat as your way to connect with us. 
  6. Kindly fill out the provided field such as your First nameLast nameEmail address, and Phone number. 
  7. Depending on what you choose as your way to connect with us, click CallbackSchedule appointment, or Chat.

Thanks, I clear it all before signing in each time. So it is definitely not that. I have contacted support many times since May and I get the same response, that the engineers are working on it. Thanks again for your time.

I am having the exact same issue with purchase orders for months now. I reached out by chat several months ago and it still isn't fixed. They would send an email every few weeks that said they are still working on it but those emails have stopped and I am still having that problem. It shows purchase orders still open that are linked to vendor bills.

Thanks for the advice. I have personally called and used the chat. No results. My issue is the amount of time I have to spend repeating my work because the software is not working properly all of the time. I have followed the recommendations. Nothing I do is preventing the issue from occurring. I have spent way too much time attempting to resolve this issue. It is not user error. It is software error.

I have discovered that when I manually closed them,  as previously suggested by many customer service reps, that the inventory from that PO does not make it into my inventory, AND, the status of the PO cannot be changed back to open.

I just want to clarify that, in QuickBooks, the status of a purchase order (PO) can be modified to either Closed or Open without any restrictions on changing the status. On the other hand, PO is a non-posting transaction, meaning it does not have any impact on inventories.

I too am having this same issue, requires me to repeat work and I cannot trust that when I link a PO to a bill that it actually linked until after the fact. Don't have time to be re-checking if all PO's generated are staying linked to bills. This issues is very frustrating and is throwing off my outstanding PO reports as well.

We are having the same issue. Its just been issue upon issue this last year. I rely on linked bills to monitor deliveries on large purchase orders over a long duration and now have no idea what is delivered without manually digging out a years worth of bills.

 

This is ridiculous for a leading accounts platform.

 

I will have to consider leaving.

QBO's AI Chatbots are the only response we get that don't help with anything. Very Frustrating

We are having the same issue. Purchase orders attached to bills aren't automatically closing. This seems to be random, some close, some do not. When receiving inventory in by attaching a PO to a bill, the inventory quantity on hand updates accurately but the quantity on PO does not update. In fact, the quantity on PO often doubles after receiving items in by attaching a PO to a bill. Never had this issue before and no resolution from support yet.

To begin, please open an incognito window on your QuickBooks Online (QBO) account. Depending on your browser type, you may refer to the keyboard shortcuts provided below:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Shift + N

 

When this works, you may proceed to clear the browser's cache. This removes its stored cache to ensure the program performs efficiently. I recommend using another supported browser or device if you still encounter the same error.
