Payee & Received From

A few years Ago, I used to reclassify transactions from Sales to Accounts Receivable without a problem. Now I can't do the same.. When I use the bank register for a deposit, I select a "customer" on the "payee" field,  but when I look for de deposit , I can't see the customer selected on the "received from" field... Isn't should be the same field?

What is the difference?... Do I have to put the name on the bank register and the Deposit too?...

Let's update your QuickBooks Desktop (QBDT) software so you can have the latest features, use the bank register for a deposit, and reclassify your transactions accordingly. 

 

The Received From field in the Make Deposits window should be the same as the Payee field when selecting a customer using the Bank Register/Account page for a deposit. I've replicated your scenario on my end, and I was able to select a customer on the Payee field. Please see the screenshot below for your reference.

With that, based on your description and screenshot above, you may have outdated QBDT software that's why you're unable to complete your deposit and tasks using the Bank Register/Account page. To fix this, you'll want to ensure your QBDT is updated to the latest release. This way, we can guarantee the program is running with the newest fixes and patches. I'll show you how to do a manual update below.

 

  1. Close your company files and QuickBooks.
  2. Open the Windows Start menu.
  3. Search for QuickBooks Desktop. Right-click the icon and select Run as administrator.
  4. While on the No Company Open screen, go to the Help menu and select Update QuickBooks DesktopQBDT Manual Update to Latest Release.PNG
  5. Go to the Options tab. Select Mark All and then select SaveQBDT Manual Update to Latest Release1.PNG
  6. Go to the Update Now tab and select the Reset Update checkbox.
  7. When you're ready, select Get UpdatesQBDT Manual Update to Latest Release2.PNG

 

When the update finishes, close and reopen QBDT and select Yes to install them. Then, restart your computer once the installation is done.

I've updated the program and nothing changed... I can't see the customer on the make deposit windows and I can't reclassify transactions to A/R... Can you show me the same windows that I have on my screenshot? The problem isn't about to see the customer on the Payee field, the problem is, I can't see the customer name on both windows (Payee field on bank register and Received From field on Make deposits). I need to reclassify Sales to Accounts Receivable, can you do it without the receipt from field?.. You can't right?...

I'll share insight about reclassifying accounts from the register. To view customers, you have to click on the drop-down arrow (see image below). However, looking at your screenshot, it seems that you only have Deposits listed as Customer: Job. You can try logging in as the QuickBooks Admin to see if it's not a user limitation that's why you're unable to view customers.

 

 

 

If you're already the QuickBooks Admin, you can re-sort your master name list. This process will help fix the odd behavior of your name lists. Refer to this article for details: Re-sort lists in QuickBooks Desktop.

I'm sorry Shiella but you didn't understand my problem.. You are talking about a users, access and lists... The problem is not about those. You can look for the screenshots and you will see there is not a customer on Make Deposit windows, even it was selected on the bank register, It's the same opened transaction., but different name field. That's the problem.

Thank you for clarifying. Allow me to step in and clear this up.

 

When you use an Accounts Receivable category on a deposit, you'll need to tag the customer in the Received From field, not on the Payee field but you may put the name there as well. 

 

The Payee field is for the entire transction while the Received From field is online associated to the distribution account, which is A/R in this case. For some reason, QuickBooks has a Payee field for deposits, which are only applicable to other transactions like sales receipts or checks.

You're telling me that I can't use the Bank Register for Deposits? It won't work... The Bank Register is only for checks and payments, not for Deposits... Ok!..

If I need to register >100 deposits, Do I have to input one by one on the Make Deposit window, that's right?.. That's a lot of wasted time....

 

Why on the previous version of QuickBooks was the same field and now it's different?.... I can't use the Reclassify Transactions tools to move deposits on one batch...

Yes, you're right. This will not work when you reclassify a deposit transaction from Sales (or any account) to A/R. Please note that a customer's name is always needed when you use an A/R.

 

There are two points that I'd like to explain further in your reply: reclassifying or directly entering a deposit into the register.

 

Originally, existing deposits with a Sales category had no customer name in the Received From field. Reclassifying or changing that category to A/R doesn't auto-populate the customer's name in that field. You'll need to enter it manually.

 

On the other hand, when you directly enter (not reclassify) a deposit and use the A/R category, the Received From field will auto-copy the customer’s name from the Payee field. Therefore, there is no need to go to Banking > Make Deposit to enter (not re-classify) A/R category deposits.

 

I understand that it takes time to open existing deposits just to tag a customer’s name. However, it is designed this way because there are instances where a deposit may have more than one category (split).

Unfortunately, this is not a solution, because it should be the same action like when you register 2 accounts on the same check (Split)… Now I know Bank Register is not 100% functionally for data entry even when you have 1 Customer for a deposit... Double work, assign customer on Bank Register and Make Deposit.

I tried to register a few deposits on Accounts Receivable and all good, but when I reclassify the transactions to sales, the Received From Field it was deleted.
