Primary Admin for QBO being same as Primary Admin for QBOA

When adding and subscribing for a new QBO client as a QBOA, can I use my QBOA credentials (Email and phone number) for the client organization so that I am a Primary Admin for my QBOA file as well as Primary Admin for the client QBO file. I want to be able to be Primary Admin for my QBOA file as well as any number of new QBO organization I subscribe for under my QBOA account.


In my services and SLA with prospective clients I want to make it clear that I would own the client set of QBO Books while I am offering my services to them. This is so that data integrity is ensured of my work and my deliverables to the client are not impacted. This would otherwise be compromised if the Primary Admin of the client organization in QBO is them as they could alter my work performed for them.


In future if we want to part ways, I would share their data with them but retain their QBO file and let it die it's natural death unless at that point the client wants to take over their QBO file in which case I would change the Primary Admin to them and kick them out of my QBOA umbrella and let them be own their own and let them choose what they want to do moving forward.

If your clients pay for subscriptions through your QBOA account, you are their Primary Admin by default.

@4Gal That's the idea. They would fall under my QBOA Wholesale Billing Account. 

 

When adding the client as a new QBO organization under my QBOA Wholesale account, it asks for phone and email of the organization. Is it okay if I put my QBOA credentials and as a result make myself the Primary Admin of the client QBO file? Will it be accepted by the system?

@4Gal FYI the page I am referring to is the one when adding a new QBO client from inside QBOA and it is where it gives various QBO plans and associated pricing.

Example:

 

If my QBOA Primary Admin is [email address removed] I want to enter this email for QBO organization 1 and the Primary Admin for it to also to be the same.

 

If I want to create and add new organization 2 to use QBO under my QBOA account I also want to enter the same email and Primary Admin for organization 2 ([email address removed]).

 

And so on...

In QuickBooks Online Accountant (QBOA), lead accountants act as the primary contact for clients and can handle bookkeeping. Lead accountant is completely separate from the primary admin role. With this, you can assign lead accountants to specific clients.

 

To automatically become a lead accountant, there are two ways:

 

 

In both cases, the lead accountant gets access to the client's books. Tip: Other accountants at your firm can also do bookkeeping for the client if they have access to review their books.

 

However, if you wish to replace the lead accountant for a client. Here's how:

 

  1. Sign in to QuickBooks Online Accountant as a primary admin. Note: Only firm admins can assign lead accountants.
  2. Go to the Clients menu.
  3. Select the filter icon.
  4. Click Edit leads.
  5. Find the client you want to change the lead for.
  6. Choose a new lead accountant in the Lead column.
  7. Once done, hit Save.

 

To assign multiple clients to the same lead accountant:

 

  1. Select the checkbox for each client.
  2. From the Assign to dropdown, choose the lead accountant.
  3. Once done, click Save.

@Sherrie_F I am not talking about or interested in lead Accountant. 

 

I am referring to adding a new QBO client that has never used QuickBooks Online before. When I am logged in to my QBOA file as Primary Admin and I click Add Client, it will land me on a screen where I need to enter details including email and phone number. Over here can I specify the same email that is associated with the Primary Admin of my QBOA file? Or is there another place when adding the new client to indicate that I am the Primary Admin of the new client organization that I am setting up? 

 

The objective is that I should own and be the Primary Admin or master admin of the client file and the subscription should be billed to my QBOA account. 

 

In future when my services are not required I want to have the option for the client to become the Primary Admin if he/she chooses to continue with QuickBooks online when we are divorcing our relationship. In such a case I will cancel the client subscription or transfer the Billing to client or off-board depending on the situation at that point.

You're on the right track in adding users to your firm. Please know that in this section, you'll need to enter your customer's details and indicate yourself as the Primary admin.

 

Moreover, adding your clients to your business can be done in two different ways, and I'm here to provide guidance on both methods.

 

If your customer wants you to choose what subscription is best for them, you can include them in your ProAdvisor Preferred Pricing plan. 

 

  1. Open your QBO Accountant. 
  2. Click Add client.
  3. Please enter their information, such as business name, email address, and mobile phone number, and indicate if they're an individual or a business in the Client contact information section.
  4. In the Product subscription section, choose both the Yes, add a subscription, and ProAdvisor discount options. Then, select Next.
  5. Choose a QBO plan that is suitable for your client and review the pricing on the next screen. If you want to change their plan, click Change, or if you won't select Next to continue.
  6. While in the process, you can also add QBO Payroll or QB Time products to their subscription. Once done, select Next.
  7. Please review your order and the total amount that will be billed to your firm on the Checkout screen. Also, you can remove products, change billing plans, and assign yourself as the Primary Admin if you and your client agree. If everything looks good, click Place order. 

 

On the other hand, if your client wishes to pay for their subscription, you can give them a discount and let them handle their billing, you can follow these steps.

 

  1. Open your QBO Accountant. 
  2. Click Add client.
  3. Add the necessary contact information like their business name, email address, and mobile phone number, and indicate if they're an individual or a business in the Client contact information section.
  4. Choose both the Yes, add a subscription, and Direct discount options in the Product subscription section. Then, select Next.
  5. Pick a QBO plan that is appropriate for your client and review the pricing on the following screen. You can change their plan by clicking Change or selecting Next to continue.
  6. At the same time, you can also include QBO Payroll or QB Time products in their subscription. Once done, select Next.
  7. Please review your order and the total amount that will be billed to your firm on the Checkout screen. Also, you can remove products, change billing plans, and assign yourself as the Primary Admin if you and your client agree. If everything looks good, click Place order.

At the same time, as the accountant and the person responsible for setting up their QBO account, you need to be the primary admin of your firm. This will allow you to transfer the account to them in the future if your services are no longer required.
