Print 1099-NEC for contact labor and W-2 for only employee.

How the heck do you do this in online QB?  Have 1 employee  want to print w-2 to "hand" to him.  Have 1 subcontractor under "contract labor". Want to print 1099-NEC to "hand" to him.  Want to file myself not through QB.  DO NOT want to buy a 1099 "kit".  Ugh.  Please help.

In QuickBooks Online, you can print 1099-NEC for your contact labor and W-2 for your employee by following these steps:


Printing 1099-NEC:

 

  1. Go to your Payroll menu and select Contractors.
  2. Select Prepare 1099s.
  3. Make sure your company name, email, address, and tax ID are correct. You can select the Pencil icon to make any changes if necessary.
  4. Click Confirm info and get started or Confirm info and start filing.
  5. Select the accounts you used to pay for contact labor, then hit Next.
  6. Review the recipient and payment totals, and then press Next.
  7. Preview the form and click Next when done.
  8. Select I’ll print and mail to print and mail the form yourself.

Printing W-2 for employees:

 

  1. Click the Taxes menu, then Payroll tax.
  2. Choose Filings.
  3. Select the All filings resources link at the bottom of the page, then choose W-2.
  4. In the W-2, Copies B, C & 2 (employee) section, click Manage W-2s.
  5. Hit View and print.
  6. Select the Print icon on the Adobe Reader toolbar, then click Print.

If you hand them their official copies, we recommend ordering W-2 kits (W-2s and envelopes) through us to ensure the form prints correctly. Just visit QuickBooks Checks & Supplies, then go to Tax Products. From there, choose Blank W-2 kits, then follow the on-screen steps to complete your order.

Print 1099-NEC for contact labor and W-2 for only employee.

Thank you for your time and response Madelyn.  I've already done all of this and when I go to print, even printing and adding a blank 1099-NEC from .gov, the print is "so large" it doesn't fit into the blanks.  Not even close.  No matter how small I attempt to make the print, it doesn't work.  I'm so beyond frustrated with QB in so many respects.  My auto file tab is ON and it won't even let me turn that off which would totally solve the problem.  Said to try to turn off, I have to wait until Feb. 1 since we're in the middle of it all.  NOT helpful. Can't change your mind or change something I didn't even know was on!!!!  Not even sure if the system has sent the 1099-NEC to the subcontractor or not. UGH.  Beyond frustrated.  I have one employee (want to print 1 W-2) and one subcontractor (want to print 1 1099-NEC) but no.  It should not be this difficult or "embedded" into so many screens. Should be a button on the Dashboard during tax time, to click and print.  HATE QB. And no one - I truly mean no one who responds to "chat", has been trained.  Just hired and thrown in the fire.  No one assists properly and hours of time gets so wasted.  Ugh again.  And no chance of speaking/chatting with a supervisor.  I'm starting to think there isn't any there.

Regarding your concern, QuickBooks sent the 1099-NEC to the subcontractor or not. To determine if QuickBooks has sent the 1099-NEC to a subcontractor, you can follow these steps:

 

  1. Log in to your QuickBooks Online account.
  2. Navigate to the Taxes section.
  3. Select Prepare 1099s to review the status of the 1099 forms that have been sent.
  4. Check the individual subcontractor records to confirm if the 1099-NEC forms have been filed for them.

 

If you are unable to locate this information or need further assistance, contacting QuickBooks Online support directly would be beneficial. They can provide specific guidance based on your account and offer assistance in verifying whether the 1099-NEC forms have been sent to your subcontractors.

Thank you for your response.  I've done that already.  My subcontractor shows under contractor, but when I follow your instructions, I see this message and 2023 is showing: "There are no 1099 e-filings to show" .

Thank you for getting back to us. islandlife727. We appreciate the time and your efforts in following the steps provided by my colleague above and providing additional details about your concern. I have the information you need about the e-filing status of the 1099 forms.

 

The steps above are only applicable if you file the 1099 in QBO. The status of your e-filed 1099 can be viewed under Filing status. It can either be one of the following:

 

  • Not Submitted: You haven't e-filed the forms with the IRS. Thus, you can keep revising it as needed.
  • Submitted: You have e-filed the form to the IRS. This can also be shown as Sent on your screen. If you need to revise it, you'll need to file a manual amendment.
  • Received by IRS: The IRS has received your form. They could be currently processing it or have already approved it. You'll receive an email confirmation approximately a week after the IRS accepts and confirms submissions.

 

Sometimes the web browsers can cause your printer not to print your 1099 forms correctly. Intuit recommends using Google Chrome or Mozilla Firefox. If printing still doesn't work on these recommended browsers, try these steps.

Chrome:

  1. Go to Chrome and select the three vertical dots in the upper-right corner. Then select Settings.
  2. Select Privacy and Security, then Site Settings.
  3. Select Additional Content settings, then PDF documents.
  4. Toggle Download PDF files instead of automatically opening them in Chrome.
  5. Try to print your 1099s again.

 

If it still doesn't align, on the print window, select the dropdown for More Settings to verify Fit to printable area or Fit to paper is not selected in the Scale dropdown.

Firefox:

 

  1. Go to Firefox and select the menu ≡, then Options.
  2. Select General.
  3. In the Applications section, locate Portable Document Format (PDF).
  4. In the Action column, select the dropdown and select your PDF viewer.
  5. Try to print your 1099s again.

 

When downloading as a PDF, if Adobe is not the application that opens the document:

 

  1. Right-click the PDF.
  2. Select Open with and choose Adobe from the dropdown list.
  3. Try to print your 1099s again.

Hi Again Madeline:

Because I have only one (1) subcontractor and one (1) employee, I will not pay $58 to get a QB "kit" with forms to print.

 

When I print the information it gives me (information to fill in a 1099-NEC form and W-2 form), it's in really large print and does not go into the lines of the form.  I went to a .gov website to get blank forms so I know the forms are correct and identical to the forms from all other years.....not too small or larger than usual.

 

What do I do now?  I need to print 2 copies of each form - one to use for taxes and one to give to the subcontractor and one for the employee.  I do not want to have it "filed" through QB, as I would rather give it to our sub and let him do what he wants with it.  Please help.

Have even tried adjusting the type size on the printer and no luck.  Ugh.  This is taking so much of my time.  I'm grateful for the responses.  Just hope eventually one of them will work.

Thank you for your note Candice.  It would be nice if contacting QB worked that way. You may have not had a chance to read the whole thread.

 

If I hadn't already contacted QB customer support multiple times now for this same issue of printing simple forms, I would call again.  Not 90% but at least 95% of those who I communicate with on either Chat or by phone, are not trained in the simplest of tasks.  I'm always so amazed in the most disappointed way.  And if I hear "thank you for your patience" one more time after chatting/talking 45 minutes into a chat or call, I may start crying.  And no one ever - never will get me to a supervisor or someone with advanced training.
