QBO Professional

I have a client on QuickBooks Pro Desktop in a cloud application for access.  They are considering a move from the Desktop to QBO Professional.

I do a number of entries that are pretty intense.  Many times I duplicate the entry and update the numbers or make my adds or deletes.

What functionalities do I gain and what functionalities do I lose if we decide to move?

Is there any specific reason why your client consider switching to QBO?

Hi there, @StevenR1. I'm here to share some insights about how these platforms deliver.

QuickBooks Online (QBO) will be the ideal choice for most small businesses. QuickBooks Desktop (QBDT) is best for businesses that need advanced inventory tracking, job costing, or reporting tools.

QBO is a cloud-based software that you can access anywhere with an internet connection.

  • Depending on which package you choose, the software includes access to all product and feature updates, automatic data backups, as well as the ability to restore company data from backups.
  • You can automatically download bank transactions and work with your accountant in real-time.
  • You can download the mobile app for free to manage your account on the go.

With QBDT, on the other hand, you have to download the software to your computer and use it on that computer only.

  • To use it on multiple computers, you have to purchase additional licenses.
  • With its 2022 release, QuickBooks shifted all Desktop offerings to annual subscription-based plans that allow you to download bank transactions and receive product updates.
  • All Desktop plans include automatic data backup and recovery and mobile receipt management.
  • For QuickBooks Enterprise, you can pay extra for cloud access to use your account from any device.

@avi balouka

You ca purchase QB Desktop 2024 Premier Plus for 3 user or 4 users. Then you may have 2 options to access your company files by internet connection.

1. Setup a private cloud. It costs $22.5/user/month. You can still access company files on LAN for free.

2. Host on a cloud provider. It costs $45 for the first user/month + $23/user/month for extra users

I'm glad to have you here, Avi.

I would like to provide you with some information about the QuickBooks Desktop product that best suits your business needs.

When upgrading your subscription in QuickBooks Desktop, all of your data will be carried over to the new subscription. However, we need to ensure that we have a backup copy of your company file to secure your data before transferring it to the upgraded version.

To learn more about updating company files in QuickBooks Desktop, I will be sending you a link for your reference: Update your company files to a new version of QuickBooks Desktop.

Furthermore, I will also send you some articles that will help you select the best product for your business needs by comparing the features of QuickBooks Desktop:

If you have any further queries regarding your QuickBooks Desktop account, please feel free to reply, and I will be here to assist you. Keep safe, and I wish you continued success!

I would recommend staying with Desktop or finding another supplier of software. It has become apparent the QBO is poorly planned out in how it works. You will find the transition painful, and will invest time into trying to figure out how to work around QBO's issues. QBO support will explain to you how important your issue is to them and nothing will move any closer to a resolution. When you start using the software it will become apparent that there are silos of employees that stay within their own area and don't speak with other teams that are designing a different portion of the software. After they put each of these teams work together it turns into something that does not flow well together and creates headaches for the end user.

Today's latest issue for me was finding out that they do not allow you to modify the template for a PO. They will allow you to add a custom field, however you cannot modify the template. Yesterday, was finding out that the footer field in the Estimate and Invoice template is limited to 400 characters. Room is needed for terms of payment and there is not enough here. This issue shows complaints dating back over 10 years with no resolution. But don't take this in a bad way. We are being told that they are diligently working towards a resolution and they care deeply about the product and their customers.

If you need to import customers or vendors from QB Desktop over to QBO you are allowed to import 15 fields of data. However, if you manually enter the data you have 30 potential fields of data, leaving you with blank fields that you will have to manually enter for each customer or vendor. They are diligently working that issues as well, or you can go to a third party app that has fixed QB's issue and enter data that way. They conveniently list the third party apps right there in the software. It has become apparent that QBO is a marketing company and not an accounting software company. QuickBooks is great at selling a subpar product, just not good at making good software. I do have to applaud them, on making money. I am sure it pays really well to sell a product and not have to maintain it. Just make it so other 3rd parties can fix their shortcomings. Don't know for sure but I bet you can make a nice profit charging those third party apps that create work arounds to be on your software.

If they would spend more time fixing their issues instead of sending me emails about how I have become a higher rank in the QB online support community it might be a reasonable product. I hope this helps you with your decision. I wish I knew how painful this was going to be before investing as much time in this as I have. For months I was trying to remain positive about this transition, it has become apparent that they do not fix their issues and are not interested in being the top accounting software.
